Position Summary:
Under the supervision of the Clinical Affairs Supervisor, coordinate all activities related to the Clinical Affairs Department.
Essential Functions of the Job:- Support Clinical Affairs Department in ensuring timely and accurate clinician timesheets, allocations, and reimbursements.
- Assist supervisor on a daily basis to allocate the correct clinic departments to float clinicians or clinicians providing coverage at site outside their allocated schedule or location - Cross referencing with EPIC schedule for accuracy.
- Maintain strong working relationship with ACMOs, CSMs, and payroll department to ensure accurate reporting of clinicians’ hours and allocation location.
- Utilizing the Daily Sick Call reports, enter the sick hours into the clinicians’ timesheet on a daily basis in preparation for payroll.
- During each pay period, assist with editing and correction of medical clinicians’ timesheets in a timely and accurate basis – Cross referencing with EPIC schedule for accuracy.
- Assist supervisor with Holiday Pay Reports.
- Complete Allocation Forms for status changes, department allocation changes, stipend requests, and manager request changes.
- Ensure follow-up for approvals of allocation changes submitted to ensure proper allocation of hours, allocation site, and administrative time for clinicians.
- Provide coverage for Clinical Affairs Supervisor when needed for any Dayforce items.
- Communicate with Dayforce team if issues arise related to missing schedules or wrong work rotations.
- Assist with completing Payroll adjustments as needed.
- Work with Payroll Team to complete report reminders.
- Assist with maintaining accurate and up-to-date master sheet of Float Availability and Assignments.
- Assist with maintaining up-to-date master sheet of clinicians’ Contact Information.
Additional Duties and Responsibilities:- Perform other duties as assigned.
- Maintains and adheres to established departmental policies and procedures as needed, environmental and infection control standards.
- Enhances professional growth and development through participation in educational programs, in-service meetings, LMS trainings, and workshops.
- Attends meetings as required and participates in committees as directed.
- Performs other duties as assigned.
Job Requirements:Education Required (Minimum level of education):- High School Diploma/GED Equivalent OR three years of experience in a healthcare or academic setting in lieu of education
Certifications/Licenses required:Experience Required (Minimum level of experience):- One year of experience in healthcare, academic, or a closely related field.
Verbal and Written Skills Required to Perform the Job:- Excellent oral and written communication skills required.
Technical Knowledge and Skills Required to Perform the Job:- Proficient in Microsoft Office Suite (Excel and Google); computer-literate; attention to detail.
Equipment Used:- Networked personal desktop, laptop computer, document center, and telephone.
Working Conditions and Physical Requirements:- Prolonged periods of sitting and standing
- Driving within the county for occasional meetings.
- May be required to work evenings and/or weekends.
