Clinical Coordinator - MedSurg

OVERALL PURPOSE OF JOB:

This position is responsible for directly managing the assigned unit by determining work procedures and ensuring the unit complies with all operating policies and practices as well as regulatory requirements with the assistance of the Director of Acute Care Operations. Communication with appropriate personnel and timely report is also required as well as providing supervision to assigned unit personnel.

ESSENTIAL FUNCTIONS OF JOB: (other duties may be assigned)

  • Demonstrate leadership and professionalism
  • Attend majority of required meetings annually
  • Attend trainings, in-services, meetings and conferences as necessary and as directed
  • Communicate with staff creatively through verbal, written means
  • Participate on assigned committees
  • Ensure monthly staff meetings with the assistance of the Director of Acute Care Operations
  • Maintain clinical expertise
  • Resolve problems as they arise
  • Direct day to day operations of the Department
  • Monitor operation of the department for effectiveness and resolve problems as they arise
  • Oversee the activity of staff to ensure care is being provided according to established procedures
  • Manage available resources including staff, equipment and supplies
  • Ensure payroll submission is completed in a timely fashion
  • Direct information technologies within the department
  • Perform other duties as assigned or required
  • Schedule and prepare staffing patterns for assigned employees to manage resources
  • Maintain staffing schedules
  • Adjust staffing in accordance to the patient volume and demands
  • Monitor and contain overtime and active call expenditures
  • Ensure guidelines are followed for staff requests, PTO time and vacations
  • Prepare and monitor realistic statistical and capital equipment budgets
  • Utilize historical data to prepare budgetary documents and assist in developing realistic operational and statistical budget with the assistance of the Director of Acute Care Operations
  • Monitor budgeted amounts versus actual performance through end-of-month distributions reports and provide an explanation for variances with the assistance of the Director of Acute Care Operations
  • Verify accurate and timely end-of-month supply distributions reports
  • Research and evaluate equipment selection
  • Keep inventory of equipment and maintain in working condition
  • Monitor and contain overtime and active call expenditures
  • Evaluate the job performance of staff members
  • Ensure completion of scheduled performance appraisal forms for assigned employees by the required deadline
  • Follow policies of Human Resources
  • Provide continual assessment, reinforcement and documentation annually and when appropriate
  • Determine measureable performance goals for staff
  • Ensure maintenance of employee education files
  • Collaborate with Director of Acute Care Operations on appraisal issues or concerns
  • Identify, interview and hire qualified personnel
  • Ensure new staff receive proper orientation following department guidelines
  • Review essential job functions with the applicant
  • Ask legal, open-ended questions that increase the likelihood of job match and validate qualifications
  • Develop and follow department guidelines for orientation
  • Ensure new staff receives proper orientation
  • Ensure completion and submission of PAF, position control form, recruitment log, and MIS security form with appropriate signatures in a timely manner
  • Collaborate with Director of Acute Care Operations on staffing needs
  • Counseling, disciplining, discharging and resignation of employees with the assistance of the Director of Acute Care Operations
  • Properly document the employees performance along with corrective action which must be taken by the employee to improve and remain employed
  • Seek feedback from the Human Resources Director and Director of Nursing prior to taking adverse employment actions
  • Follow the Human Resources Department policies and procedures
  • Ensure submission of term PAF, and MIS forms with appropriate signatures and in a timely manner
  • Develop and review policies and procedures with the assistance of the Director of Acute Care Operations
  • Ensure that procedures and policies meet regulatory compliance requirements
  • Develop and update procedures and policies that provide assistance to staff members and empower involvement when applicable
  • Ensure staff is knowledgeable of updated policies
  • Assist in planning education day
  • Provide reports as required
  • Provide statistics of Department
  • Report department activities to selected committees within the hospital’s set reporting period
  • Monitor patient outcomes
  • Ensure development, completion and reporting of Quality Improvement activities
  • Elevate nursing practice in the department
  • Ensure quality improvement is being completed by departmental team. Represent department on hospital quality committee
  • Evaluate and revise department policies and procedures as necessary or per regulatory agency standards
  • Provide annual competencies on department specific skills in collaboration with nursing education and Director of Nursing
  • Engage staff in committee and departmental improvements
  • Keep open lines of communication
  • Collaborate with the other nursing departments in order to maximize staffing utilization
  • Report end-of-shift summary to hospital supervisor by 3pm
  • Notify Director of Nursing and VP of Nursing of any issues within the department
  • Communicate with physicians regarding patient and staff issues
  • Provide clinical oversight of the nursing care process.
  • Serve as a resource for department staff
  • Delegate nursing care duties as appropriate for the scope of practice of assignee
  • Maintain control of daily operations, manage admissions, transfers and discharges
  • Coordinate discharge planning within the department
  • Meet formally or informally with members of the interdisciplinary team (PT/OT, Social Services, Home Care, Dietician, Speech Therapy, etc.)
  • Document and communicate discharge planning
  • Collaborate with patients families and allow them to participate in the plan
  • Communicate with physician on discharge planning
  • Maintain RN skill set
  • Function as Staff Nurse on the floor as necessary
  • Ability to perform comprehensive patient assessment
  • Safely administer oral and IV medications
  • Follow hospital policy and procedure
  • Provide patient care
  • Monitor, evaluate, and maintain adequate supplies to care for patients
  • Ensure supplies are ordered in a timely manner
  • Complete purchase requisitions and obtain approval from Director of Nursing
  • Review external office supply orders
  • Ensure economical use of supplies, noting trends or opportunities for cost reductions
  • Evaluate new products in collaboration with Director of Nursing
  • Review, confirm, and sign off on all invoices received in a timely manner
  • Support the safety initiatives of WMC
  • Adhere to safety, health and wellness work practices
  • Identify and report any safety risks to either a member of the Safety Committee or the Chief Nurse Executive
  • Ensure compliance with regulatory agency standards
  • Monitor unit for compliance
  • Counsel staff on new or changes to regulatory agency standards
  • Collaborate with Director of Nursing to keep up to date with standards
  • Support, review, and ensure staff compliance with CMS core measures in collaboration with Director of Quality.

QUALIFICATIONS:

  • Education/Training/License/Certification:

Bachelor’s degree from a four-year college or university is preferred at time of hire, or required within 4 years of hire.

Current Pennsylvania Registered Nurse License is required.

Within 6 months of hire:

CPR, NALS

  • Work Experience:

One to two years related experience and/or training.
