Job Description

The Enterprise Clinical Supervisor, Forms Management & Documentation Integrity provides leadership and operational oversight for all electronic clinical forms (eForms) used across the enterprise. This role manages the end‑to‑end lifecycle of clinical forms related systems, ensuring they support accurate documentation, regulatory alignment, workflow efficiency, and data integrity. The supervisor establishes and maintains a comprehensive enterprise forms governance process, ensuring that forms are consistently developed, evaluated, approved, maintained, and retired according to organizational, regulatory, and documentation‑integrity standards. This position works collaboratively with clinical departments, clinical informatics, Epic analysts, UAB Print Shop, HIM, Regulatory, Legal, Risk, and Compliance to ensure that forms remain current, meet organizational standards, and are updated routinely based on clinical, operational, and regulatory needs


Key Duties & Responsibilities


  • Oversees the full lifecycle of clinical forms, including paper forms, downtime forms, and external electronic formats that support documentation workflows.
  • Leads the development and ongoing refinement of an enterprise‑wide forms governance process, establishing guidelines, approval pathways, and documentation standards.
  • Implements a routine review and maintenance cycle to ensure forms remain clinically relevant, compliant, accurate, and aligned with organizational requirements.
  • Supervises staff responsible for form intake, formatting, design, updating, and coordination with clinical teams and support departments.
  • Partners with clinical departments to assess form needs, evaluate proposed changes, and ensure forms appropriately support patient‑care workflows and documentation accuracy.
  • Manages the forms intake and prioritization process, ensuring transparent communication of expectations, timelines, and progress to stakeholders.
  • Maintains complete and accurate documentation of all forms, including inventory tracking, version control, approval history, metadata, and governance records.
  • Ensures compliance with HIM, Data Integrity, Quality, Compliance, and regulatory standards, incorporating changes into forms as needed.
  • Supports audit and review activities involving forms, documentation workflows, and data downstream impacts.
  • Coordinates with MRG scanning teams to ensure forms intended for scanning meet format, structure, and legibility requirements.
  • Ensures all downtime documentation forms are current, accurate, and aligned with clinical workflows and downtime procedures.
  • Provides training, coaching, and ongoing development for staff, supporting skill advancement in form development, Epic build competencies, and documentation integrity principles.
  • Manages staff scheduling, performance evaluations, system access, and accountability in accordance with organizational policies and department practices.
  • Performs other duties as assigned.


Qualifications

Qualifications

Bachelor’s degree in Nursing, Health Information Management (HIM), or related clinical field required. Five (5) years of progressive experience in clinical informatics, HIM, electronic forms or policy management, or related clinicalclinical/technical work, including experience demonstrating a graduated level of responsibility and scope.

Licenses / Certifications / Registrations

Current State of Alabama licensure commensurate with healthcare/clinical degree (i.e. RN, etc.)

Knowledge / Skills / Abilities

Ability to navigate Epic and related clinical documentation applications effectively.

Strong understanding of clinical documentation workflows, form development principles, and governance standards.

Knowledge of regulatory, accreditation, and documentation integrity requirements.

Ability to lead and motivate staff, manage schedules, and ensure accountability

Excellent communication, facilitation, and collaboration skills with clinical and operational teams.

Strong analytical, organizational, and problem‑solving abilities.

Ability to manage multiple competing priorities in a fast‑paced environment.

Ability to maintain confidentiality and uphold HIPAA and organizational policies.

Ability to work independently and demonstrate sound judgment. Ability to perform a variety of duties often changing from one task to another of a different nature without loss of efficiency or composure.
