Job Purpose
The Collection Executive is responsible for managing and following up on all receivables from tenants, ensuring timely collection of rents, service charges, and other related fees. The role supports healthy cash flow, maintains accurate financial records, and builds professional relationships with tenants while ensuring compliance with lease terms and company policies.
Key Responsibilities
- Follow up with tenants on outstanding payments including rent, service charges, utilities, and other agreed fees.
- Issue payment reminders, statements of accounts, and follow-up communications (email, calls, meetings).
- Coordinate closely with Leasing, Retail Relationship, and Legal teams regarding tenant payment status and disputes.
- Ensure collections are aligned with lease agreements and approved payment schedules.
- Receive, record, and reconcile tenant payments in the finance system accurately and timely.
- Prepare aging reports, collection status reports, and monthly receivables summaries.
- Escalate overdue accounts in line with internal escalation and penalty procedures.
- Support the Finance team during audits by providing collection-related documentation.
- Maintain accurate tenant financial records and filing (physical and system-based).
- Build and maintain professional relationships with tenants to support smooth collections.
- Ensure compliance with internal financial controls, policies, and procedures.
Qualifications & Experience
- Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
- 2–4 years of experience in collections, accounts receivable, or finance (real estate or mall environment is a plus).
- Good understanding of lease agreements and tenant billing structures.
- Experience dealing with multiple clients/tenants.
