Job Summary

The Sales & Logistics Coordinator is responsible for providing full administrative, commercial, and logistical support to the Sales Division specializing in crushing, screening, and heavy machinery equipment. This role ensures smooth execution of customer inquiries, quotations, CRM accuracy, shipment coordination, and alignment between sales, logistics, accounts, and marketplace platforms. The coordinator acts as the operational backbone of the sales cycle, ensuring timely responses, accurate documentation, and seamless delivery of equipment and spare parts.

Key Responsibilities

1. Quotation and Sales Support

  • Prepare detailed and accurate quotations for crushing and screening equipment, spare parts, wear parts, and rental solutions.
  • Maintain quotation logs, validity, and follow-up schedules.
  • Coordinate with technical and maintenance teams to confirm equipment specifications before issuing quotations.
  • Request supplier quotations for imported or specialized machinery.

2. CRM and Client Management

  • Maintain and update the CRM system with all leads, opportunities, client interactions, and deal statuses.
  • Track customer inquiries from initial contact to delivery with clear status updates.
  • Ensure all customer information is accurate, complete, and documented.
  • Support the sales team with follow-up reminders and client activity tracking.

3. Logistics and Shipment Coordination

  • Request and compare freight quotations for land transport, sea freight, and delivery of crushers, screens, conveyors, and spare parts.
  • Coordinate with shipping companies, freight forwarders, and customs agents.
  • Prepare and communicate loading schedules, collection points, and delivery timelines.
  • Ensure proper INCOTERMS are applied, such as FOB, CIF, EXW, and DDP.
  • Track shipments and update clients and the sales team on delivery progress.

4. Accounts and Documentation

  • Coordinate with the Accounts Department to prepare Proforma Invoices, Tax Invoices, and payment follow-ups.
  • Ensure all shipping documentation is ready, including commercial invoices, packing lists, certificates, and insurance documents.
  • Maintain organized records of quotations, PIs, LPOs, and approved contracts.
  • Follow up professionally with clients regarding overdue payments.

5. Online Platforms and Marketplace Management

  • Update and maintain product listings on machinery marketplace platforms such as MachineryTrader, MachineryPark, Mascus, and similar.
  • Ensure listings contain accurate data, specifications, and quality images of crushers and heavy machinery.
  • Monitor lead inquiries received from platforms and pass them to the sales team.
  • Ensure outdated listings are removed or updated immediately.

6. Internal Coordination

  • Coordinate daily with the Workshop, Yard, and Operations teams regarding machine availability, service requirements, inspections, and delivery readiness.
  • Support Sales Executives in preparing sales contracts, proposals, machine specs, and marketing materials.
  • Assist in preparing weekly and monthly sales and performance reports.

Qualifications and Experience

  • Minimum of 3 to 5 years UAE experience in heavy machinery, crushing and screening equipment, construction equipment, or recycling industry.
  • Strong understanding of jaw crushers, cone crushers, impact crushers, screens, conveyors, and auxiliary equipment.
  • Knowledge of shipment procedures, freight terms, and logistics coordination.
  • Experience using CRM systems such as Zoho, HubSpot, Salesforce, or similar.
  • Excellent English communication skills; Arabic is an advantage.
  • Proficient in Microsoft Excel, Word, PDF handling, and online marketplace tools.
  • Strong attention to detail, accuracy, and prioritization.
