• Coordinate and schedule HVAC service appointments, ensuring timely dispatch of technicians based on priority and skill set
• Communicate effectively with clients, technicians, and vendors via multi-line phone systems, maintaining professional phone etiquette at all times
• Utilize transportation management systems such as Corrigo, inventory, and fleet movements
• Manage shipping & receiving processes for parts and equipment, ensuring accurate data entry and inventory control
• Monitor fleet management systems including GPS and GIS tools to optimize routes and improve transportation efficiency
• Assist with freight management, including coordinating third-party logistics (3PL) providers for timely delivery of supplies
• Maintain detailed records through data entry in AS400 and other logistics platforms while adhering to high standards of accuracy and efficiency
• Support analysis of transportation planning data to identify opportunities for process improvements and cost savings
• Handle dispatching tasks with precision, ensuring all service requests are prioritized correctly and communicated clearly to technicians
• Provide exceptional support in logistics coordination for HVAC parts, equipment shipments, and service schedules

Skills

• Strong knowledge of GIS (Geographic Information Systems), GPS (Global Positioning System), transportation management systems, and logistics principles
• Proficiency in Oracle Transportation Management, SyteLine, AS400, and other supply chain software tools
• Excellent analysis skills with the ability to interpret transportation data for strategic decision-making
• Effective dispatching skills with a focus on efficiency and customer satisfaction
• Experience with freight management, shipping & receiving processes, and fleet management systems
• Exceptional communication skills coupled with professional phone etiquette across multi-line phone systems
• Accurate data entry skills with high attention to detail in platforms like Data Entry modules or equivalent systems
• Familiarity with 3PL providers and transportation planning strategies to optimize supply chain operations
• Ability to multitask effectively in a fast-paced environment while maintaining a positive attitude
