Job Summary:
The Commercial Property Manager & Lease Administrator oversees a portfolio of commercial properties, blending property management, lease administration, financial coordination, tenant relations, and compliance. This role will oversee multiple commercial locations, with continued growth expected, and will work closely with internal teams, tenants, landlords, vendors, HOAs/POAs, and external property managers to ensure properties are well-maintained, compliant, and financially accurate.
Responsibilities:
- Oversee the day-to-day management of commercial properties within the assigned portfolio.
- Coordinate and track maintenance requests with tenants, landlords, store property managers, and third-party vendors.
- Conduct site visits to assess property conditions, identify issues, and ensure timely resolution.
- Partner with landlords and external property managers to address maintenance, repair, and operational needs.
- Proactively identify and resolve issues to maintain property standards while implementing preventive maintenance strategies across the portfolio.
- Identify and execute cost-saving opportunities through vendor management and expense oversight.
- Serve as the primary point of contact for tenant inquiries regarding property operations, maintenance, and lease obligations.
- Communicate property code violations to tenants, track remediation progress, and follow through to resolution.
- Administer, amend, and support commercial leases and renewals in accordance with terms, documentation, and company standards.
- Support lease renewals, amendments, and documentation management, while ensuring compliance with lease terms, tenant rent structures, and contractual obligations.
- Maintain accurate insurance and compliance records across all aspects of the business.
- Serve as the primary point of contact for tenant inquiries regarding property operations, maintenance, and lease obligations.
- Manage rent increases, reconciliations, and lease-related adjustments for all properties in addition to maintaining the lease abstracts.
- Partner with accounting to support budgeting, reporting, and financial accuracy across the portfolio.
- Proactively track, request, distribute, and manage Certificates of Insurance (COIs) for all tenants as they expire or change, including NRP rent stores.
- Manage and review Common Area Maintenance (CAM) reconciliations and related tenant charges.
- Track rent adjustments, escalations, and recoveries in alignment with lease terms.
- Serve as the company representative with HOAs and POAs, ensuring compliance with rules and requirements, and attending HOA/POA meetings as needed while communicating relevant updates internally.
- Perform additional duties as assigned by Leadership.
Required Qualifications & Skills:
- Must be 21 years of age or older.
- Minimum 5 years of experience in commercial property management, lease administration, or a related role.
- Experience with the MS Suite of products including Word, Excel, and Outlook.
Preferred Qualifications:
- Experience with CAM budgeting and reconciliation.
- Experience managing multi-site or portfolio-based commercial properties.
- Ability to manage multiple priorities and communicate in a fast-paced environment.
- Effective communication skills with both English and Spanish, verbal and written.
- High school diploma or equivalent.
- Knowledge of basic maintenance procedures, operation, and terminology.
- Strong accounting and financial acumen, including experience with reconciliations and budgeting.
- Working knowledge of commercial lease terms, rent structures, and compliance requirements.
- Experience managing tenant relationships and coordinating maintenance activities.
- Strong organizational skills with a high commitment to communication and follow-through.
- Familiarity with property management or lease administration systems (e.g., Yardi Breeze).
