Company Setup Executive

Position Summary: The Formation & Compliance Executive is responsible for executing daily company formation, renewal, and compliance tasks across UAE and GCC jurisdictions, covering onshore, offshore, and free zone structures. The Executive reports day-to-day workflow and case coordination to the Team Lead – Formation & Compliance. Formal people management, performance evaluation, and HR decisions remain with the Assistant Manager.

The Executive works directly with the Legal Department to raise clear and complete requirements for legal documentation related to formation, compliance, and governance matters. The Team Lead – Formation & Compliance is included in all legal correspondence for visibility, tracking, and timeline monitoring. During the initial onboarding and training period, legal requests may be routed via the Team Lead to ensure accuracy and alignment.

Key Responsibilities:

1. Client Case Management

  • Manage assigned client files from initiation to completion, including new incorporations, amendments, and renewals.
  • Communicate client requirements and documentation needs clearly to the Legal Department through the Team Lead.
  • Escalate complex, high-risk, or blocked cases to the Team Lead, who coordinates with the Assistant Manager as required.
  • Maintain accurate communication logs and ensure timely follow-ups with clients and internal teams.

2. Documentation & Submission

  • Prepare, format, and compile complete application packs and compliance documentation in line with checklists and SOPs.
  • Submit applications via online portals and physically (if needed) in coordination with the PRO team.
  • Follow up on pending cases with authorities and escalate delays to the Team Lead as appropriate.

3. System & Record Keeping

  • Accurately update CRM, client folders, and internal trackers with all case-related data.
  • Flag missing information or inconsistencies and ensure records reflect the current stage of each task.
  • Ensure correct archiving of signed documents, licenses, approvals, and receipts.

4. Internal Collaboration & Coordination

  • Liaise with the Legal Department to provide complete and accurate requirements for legal documents. During the initial training period, route legal requests through the Team Lead as required to ensure correctness and process adherence.
  • Follow the Team Lead’s assignment of tasks, including timelines and priorities for each case.
  • Ensure the Team Lead is included in all legal correspondence for tracking, prioritization, and workflow oversight.
  • Coordinate with cross-functional teams (PRO, Sales, Legal) only as guided through the Team Lead.
  • Document procedural updates, authority rules, or unusual scenarios for knowledge sharing within the team.

5. Risk Awareness & Compliance

  • Apply company SOPs and ensure all client work is compliant with relevant free zone or government regulations.
  • Raise operational, legal, or compliance concerns to the Team Lead, who will escalate to the Assistant Manager or Legal Department as needed.
  • Ensure all documentation, including legal requirements, is accurate, complete, and aligned with SOPs before submission.

Job Type: Full-time

Pay: E£25,000.00 - E£35,000.00 per month
