EBI has been named a winner of San Francisco Chronicle’s Top Workplaces Award for 2023, 2024, and 2025!About the Compliance Coordinator Position:The Compliance Coordinator role is central to ensuring a safe, efficient, and compliant environment for East Bay Innovations staff, consumers, and partners.Education:-
Associate’s Degree in Business, Administration, Human Resources, or a related field is preferred.

Relevant professional experience can be substituted for the degree requirement.
Experience:-
A minimum of two (2) years of administrative work experience, with a focus on compliance, HR, or safety preferred.

Familiarity with HR and worker’s compensation regulations and standards, including EEOC and DOL requirements.

Demonstrated experience in safety management, compliance reporting, and documentation procedures.
Schedule-
Part-Time: 30 hours per week.

Monday-Friday: 9:00AM-3:30PM (6 hours per day with a 30 minute unpaid lunch).
Locations:-
Working on-site at the San Leandro Office.

Possession of a valid California driver's license, a driving record that meets agency standards, auto insurance, and access to a vehicle.
Compensation:
Duties and Responsibilities:Administrative & Workplace Support-
Assist with the intake and follow-up communication for workers' compensation claims.

Maintain the physical appearance of EBI’s main office, ensuring all common areas (reception, conference rooms, kitchen) are clean, orderly, and welcoming.

Foster a positive, helpful, and collaborative atmosphere when interacting with all EBI staff, consumers, partners, and guests.

Provide other administrative support and perform duties as assigned to contribute to the success of the Administrative team.
Employee Compliance & Documentation (Non-Negotiables)-
Administer and meticulously track all employee training and certification records to ensure 100% compliance.

Generate regular compliance reports to identify staff with missing or expired documentation, including driver's licenses, auto insurance, and other EBI-required credentials.

Manage all employee personnel files, both physical and digital, ensuring they are complete, confidential, and in full compliance with Department of Labor (DOL) and Equal Employment Opportunity Commission (EEOC) regulations.

Assist with the annual EEOC audit and other regulatory reporting as needed.
Safety Program & CARF Oversight-
Serve as the Co-Chair of the EBI Safety Committee, helping to lead safety initiatives and ensure adherence to all Commission on Accreditation of Rehabilitation Facilities (CARF) standards and OSHA regulations.

Oversee the agency’s Personal Protective Equipment (PPE) program, including managing inventory, sourcing and ordering supplies, delivering supplies to client homes or other satellite offices as needed, and processing employee requests.

Conduct regular safety walk-throughs of EBI facilities to identify, document, and mitigate potential hazards.

Plan and execute annual safety drills (e.g., fire, earthquake, utility failure, etc.) to ensure staff preparedness and procedural compliance.

Investigate reported safety concerns and track them to resolution, ensuring a closed-loop corrective action process is followed.

Analyze Special Incident Report (SIR) data to identify trends, prepare actionable safety reports, and recommend preventative measures.

Prepare agendas and document the official minutes of all quarterly safety meetings.
-
Develop and maintain the agency's safety training curriculum; source new, relevant trainings for staff and regularly update existing materials to meet current regulations and best practices.
Human Resources-
Tracks completion of non-negotiable requirements for EBI staff after New Hire Orientation and CPR training. Checks out with staff prior to leaving, and updates the database and Monday boards.

Additional tasks as assigned by the HR Director and Senior Assistant Director.
