Job Summary: The Construction Administrative Assistant will be responsible for providing essential support to ensure smooth daily operations within the organization. This role manages a wide range of administrative tasks and serves as a key point of contact for internal staff and external partners. This role will help streamline workflows and improve overall efficiency for our Syracuse, NY Division. The ideal candidate will have strong organizational skills, an eye for detail, and the ability to manage multiple tasks in a fast-paced environment.

Key Responsibilities:

1. Administrative Duties

o Answer all Incoming phone calls.

o Assist HR Director with New Hire Onboarding.

o Maintain a clean office environment.

o Handle Purchase Order Requests

2. Operational Support

o Enter Work Order Requests into Fulcrum and ensure accuracy with jobs.

o Track fleet maintenance in T3 GPS system.

o Assist with daily sheet review and billing review.

o Work with Fleet Managers to ensure Compliance with vehicles and DOT.

o Coordinate branding of Vehicles when necessary.

3. Training Coordination

o Coordinate and assign necessary employee training

o Maintain Employee Training Records

4. Resource & Inventory Management

o Coordinate ordering of shop and office inventory.

o Coordinate with vendors and external partners to maintain smooth operations.

Qualifications:

· 5+ years of experience in an Administrative role

· Experience in a Construction environment preferred.

· Strong organizational and problem-solving skills

· Ability to effectively communicate both verbal and written.

· Ability to work independently and strong attention to detail

· Ability to multitask, prioritize and work will under pressure to meet deadlines

· Proficient in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) and PDF software (Adobe /BlueBeam).

Pay Range: $24-$26/hour based on experience.

Schedule: In office Monday-Friday 7am-3:30pm

Job Type: Full-time

Pay: $24.00 - $26.00 per hour

Expected hours: 40 per week
