We are seeking an energetic and highly organized Construction Office Manager to oversee the administrative operations of our construction projects. This pivotal role combines office management, vendor coordination, scheduling, and team supervision to ensure seamless project execution. The ideal candidate will thrive in a fast-paced environment, demonstrating exceptional communication skills and a proactive approach to problem-solving. You will be the backbone of our office, supporting project teams, managing documentation, and fostering efficient workflows to drive success across all construction initiatives.

Responsibilities

  • Manage daily office operations, including filing, record keeping, and administrative support for construction projects
  • Supervise administrative staff and coordinate team activities to ensure smooth workflow
  • Oversee scheduling of project timelines, meetings, and deadlines using effective calendar management tools
  • Coordinate with vendors, suppliers, and subcontractors to ensure timely delivery of materials and services
  • Handle human resources functions such as onboarding, training & development, payroll processing, and maintaining employee records
  • Utilize QuickBooks for budgeting, bookkeeping, invoicing, and financial tracking related to construction projects
  • Maintain clear communication with project managers, clients, and internal teams through multi-line phone systems and email correspondence

Skills

  • Proven experience in office management within a construction or related industry environment
  • Strong supervisory experience with the ability to lead teams effectively
  • Excellent organizational skills with keen attention to detail in scheduling and documentation
  • Proficiency in QuickBooks for financial management including payroll and budgeting tasks
  • Skilled in vendor management and building strong professional relationships
  • Effective communication skills with phone etiquette and client interaction expertise
  • Experience in human resources functions such as onboarding, training, and employee development
  • Familiarity with medical office or general office procedures is a plus but not required
  • Ability to manage multiple priorities efficiently while maintaining professionalism under pressure
