Office Manager/Administrative Assistant – Commercial Construction Company

Location: Lexington, SC (On-site only – very little, if any remote work available) Employment Type: Full-Time
Schedule: Monday–Friday, 8:00 AM – 5:00 PM (with 1-hour lunch break)
Salary: $35,000 – $45,000 per year, based on experience

About the Role We are a growing commercial construction company headquartered in Lexington, SC, specializing in high-quality subcontracting services for various building projects. We're seeking a reliable, detail-oriented Office Manager/Administrative Assistant to handle the day-to-day administrative and financial operations of our office. This is a hands-on role in a fast-paced environment where you'll work independently while coordinating with field teams, subcontractors, vendors, and leadership.

If you're organized, proactive, and comfortable managing multiple priorities without constant supervision—but still enjoy interacting with people to get things scheduled and coordinated—this could be a great fit.

Key Responsibilities

  • Perform bookkeeping tasks using QuickBooks (including accounts payable/receivable, reconciliations, and general ledger maintenance)
  • Process payroll for employees and subcontractors
  • Process vendor payments through various vendor websites/portals.
  • Schedule jobs, meetings, and subcontractor coordination
  • Prepare and assemble submittal packages for projects
  • Acquire and manage necessary business licenses and permits
  • Manage cloud-based file storage systems (organization, access, backups)
  • Manage hotel reservations for field crews when needed.
  • Handle general office duties such as correspondence, filing, supply ordering, and vendor coordination
  • Support other administrative needs to keep operations running smoothly

Required Qualifications

  • Minimum 3 years of hands-on experience with QuickBooks (proficiency in both Desktop and Online versions strongly preferred)
  • Strong experience with Microsoft Office suite (especially Excel and Word)
  • Ability to work independently with minimal supervision while being personable and communicative for scheduling and coordination
  • Comfortable learning construction-specific materials, labor codes, and terminology quickly (construction-related field experience preferred but not required)
  • Reliable transportation and ability to work on-site full-time in Lexington, SC

Preferred Qualifications

  • Experience with iPad or Mac devices and apps
  • Familiarity with construction project management software (e.g., ProCore, AutoDesk, BuilderTrend)—please highlight any relevant experience on your resume
  • Previous office or administrative experience in construction, subcontracting, or a related industry
  • Bilingual fluency in English and Spanish (spoken and written) – this is a huge plus for effective communication with diverse teams, subcontractors, and vendors but certainly not required.
