Position Summary
We are seeking an energetic and detail-oriented Construction Safety Admin/Assistant to join our team. In this vital role, you will support construction safety management efforts by coordinating safety documentation, assisting with compliance procedures, and ensuring adherence to all relevant safety regulations. Your proactive approach will help foster a safe work environment across multiple construction sites, contributing to the success of our projects and the well-being of our teams.
Required Knowledge, Skills & Training
- High school diploma or GED required.
- Prior administrative, clerical, construction office, safety office, or related support experience preferred.
- Interest in construction safety, compliance, training coordination, or safety documentation preferred.
- Basic understanding of workplace safety concepts preferred.
- OSHA 10 certification preferred or ability to obtain, if required by the department.
- CPR/AED and First Aid certification preferred or ability to obtain, if required by the department.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and basic web-based applications.
- Strong attention to detail and ability to maintain accurate records, logs, files, and reports.
- Ability to handle confidential and sensitive information appropriately.
- Strong written and verbal communication skills and ability to follow up professionally with internal stakeholders.
- Ability to prioritize multiple administrative tasks, meet deadlines, and work effectively in a team environment.
Essential Job Functions
- Maintain and organize safety documentation, including training records, inspection reports received from field staff, incident documentation, compliance forms, and department files.
- Enter, update, and track safety-related data in company systems, spreadsheets, logs, and shared folders.
- Assist with preparing safety reports, forms, correspondence, meeting materials, and presentations as directed.
- Support document control by ensuring forms, templates, policies, and training materials are current and accessible.
- Coordinate safety training logistics, including scheduling, room or virtual meeting setup, attendance tracking, materials preparation, and follow-up documentation.
- Maintain training rosters, certification records, expiration dates, and related compliance documentation.
- Assist with communication to employees and managers regarding upcoming safety training, required paperwork, and completion status.
- Support preparation of toolbox talk materials, CPR/AED records, First Aid records, and other Health & Safety Department training documents.
- Track safety metrics, compliance records, safety forms, and department action items under the direction of the safety leadership team.
- Compile information for routine reports, audits, insurance requests, compliance reviews, and internal safety meetings.
- Follow up with internal contacts to obtain missing or incomplete documentation.
- Maintain organized records to support OSHA, company policy, client, and department documentation requirements.
- Provide administrative support to Safety Specialists, Safety Managers, and the Senior Director of Health & Safety.
- Assist with department calendars, meeting preparation, agendas, notes, action-item tracking, and follow-up reminders.
- Respond to routine questions or route inquiries to the appropriate safety team member.
- Participate in department meetings, process improvement efforts, and ongoing professional development related to safety administration.

Pay: $27.00 - $32.00 per hour
