Job Summary and Responsibilities:

Acentra Health is looking for a Contract Coordinator - Medical Review Intake & Scheduling - Full-time (Remote within Tennessee) to join our growing team.


Job Summary:
  • The Contract Coordinator provides essential administrative and organizational support to the Operations Director and program team. The role manages intake, physician assignment, scheduling, documentation, and submission activities to ensure review and hearing timelines are met and in line with established procedures.
Responsibilities:
  • Evaluate and triage incoming medical necessity review requests based on varied timelines.
  • Assign reviews to physicians based on requested service, appeal timeline, specialty alignment, availability, and workload.
  • Submit completed reviews to the requesting agency.
  • Enter accurate information into the appeals tracking system (e.g., diagnosis, determinations, review times, appeal issues, and additional information status).
  • Monitor internal reports and proactively escalate risks to timelines.
  • Schedule physician witnesses for hearings.
  • Maintain a high volume of calendars and multiple email accounts.
  • Coordinate across teams to resolve issues and meet deadlines.
  • Perform general administrative duties including scheduling meetings, maintaining internal electronic files, and updating internal process documentation.
  • Submit and track IT requests.
  • Crosstrain to provide back-up coverage within team.
  • Perform other related duties as assigned to support program operations.
  • Read, understand, and adhere to all corporate policies including policies related to HIPAA and its Privacy and Security Rules.
Qualifications:

Required Qualifications/Experience:

  • A minimum of a High School diploma OR GED equivalent.
  • 2+ years of experience in a fast‑paced administrative or support role, background in healthcare, legal, scheduling, or operations preferred.
  • Minimal travel to Nashville, Tennessee.

Preferred Qualifications/Experience:

  • Associate degree.
  • Proven ability to manage multiple priorities, strict deadlines, and confidential information with discretion.
  • Strong organizational skills; exceptional attention to detail; accurate and efficient data entry skills.
  • Exceptional customer service and professional communication skills, both written and verbal.
  • Proficient in Microsoft Office; familiarity with PDF tools (e.g., Adobe) and comfort learning new systems.
  • Collaborative team player who can work independently in a remote environment.
  • Demonstrates initiative, accountability, and practical problem-solving in a fast-paced setting.
  • Responds with urgency to resolve issues in time-sensitive situations.
  • Experienced in coordinating complex schedules.
  • Skilled in cross-functional collaboration and communication.

The pay range for this position is listed below.

“Based on our compensation philosophy, an applicant’s position placement in the pay range will depend on various considerations, such as years of applicable experience and skill level.”
Pay Range: USD $20.00 - USD $25.08 /Hr.
