Job Summary
We are seeking a dynamic and organized Contractor Office Assistant to support our administrative operations and ensure the smooth functioning of our office environment. This role is vital in managing front desk activities, handling communications, and providing exceptional customer support. The ideal candidate will be proactive, detail-oriented, and possess strong organizational skills to help maintain an efficient workplace. As a contractor position, this role offers valuable experience in office management and administrative functions within a professional setting.

Responsibilities

  • Greet visitors and clients professionally, ensuring a welcoming atmosphere at the front desk
  • Manage multi-line phone systems, directing calls accurately and courteously
  • Handle data entry tasks using Microsoft Office, Google Workspace, and QuickBooks for record keeping and bookkeeping
  • Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
  • Assist with calendar management and scheduling appointments for team members or contractors
  • Support office management duties such as ordering supplies, managing inventory, and coordinating maintenance requests
  • Provide excellent customer service by responding promptly to inquiries via phone or email and supporting client needs , mainly doing estimates and invoicing

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Strong computer literacy with experience in data entry and clerical tasks
  • Excellent organizational skills with the ability to prioritize multiple tasks effectively
  • Bilingual abilities are a plus to assist diverse clients and team members
  • Experience with QuickBooks or similar bookkeeping software preferred
  • Exceptional phone etiquette and experience managing multi-line phone systems
  • Demonstrated office management skills including filing, calendar coordination, and document proofreading
  • Previous clerical or administrative experience in an office environment required
  • Strong time management skills to handle multiple responsibilities efficiently
  • Personal assistant or office support experience is advantageous for this role

Pay: $25.40 - $30.59 per hour
