Contracts Administrator | Construction Division

We are seeking a detail-oriented and highly organized Contracts Administrator to support the administration, coordination, and control of contractual documentation throughout the lifecycle of construction and infrastructure projects.

The successful candidate will play a key role in managing contract records, correspondence, variations, claims documentation, contractual compliance, and project closeout activities while working closely with Project Teams, Quantity Surveyors, Procurement, Consultants, Clients, and Subcontractors.

Key Responsibilities

Contract Administration & Documentation

  • Administer and maintain project contracts, subcontracts, consultancy agreements, and related contractual documentation throughout the project lifecycle.
  • Ensure all contract records, notices, amendments, correspondence, and supporting documents are properly maintained and readily accessible.
  • Monitor contractual obligations, key deliverables, milestones, and compliance requirements.

Contractual Correspondence & Records Management

  • Prepare, issue, track, and maintain contractual correspondence, notices, approvals, instructions, and communications.
  • Maintain accurate contract registers, variation logs, claims trackers, correspondence records, and contractual databases.
  • Ensure proper document control and distribution of contractual communications to relevant stakeholders.

Variations, Claims & EOT Administration

  • Support the preparation and administration of variation orders, claims submissions, Extension of Time (EOT) requests, and contractual notices.
  • Collect, organize, and maintain supporting documentation required for contractual and commercial submissions.
  • Monitor submission deadlines and ensure compliance with contractual notification requirements.

Contract Compliance & Governance

  • Monitor project activities against contractual obligations, reporting requirements, and compliance milestones.
  • Track approvals, submissions, contractual deliverables, and key obligations.
  • Assist in identifying contractual risks, delays, compliance issues, and entitlement opportunities.

Commercial & Contractual Support

  • Provide administrative and contractual support to the Contracts Manager and Project Teams.
  • Assist in reviewing contract provisions and preparing summaries to support commercial evaluations and decision-making.
  • Support contractual meetings, negotiations, and reviews through the preparation of documentation and records.

Stakeholder Coordination

  • Coordinate with Clients, Consultants, Subcontractors, Suppliers, Procurement Teams, and Project Teams to facilitate contract administration activities.
  • Follow up on contractual actions, submissions, approvals, and outstanding documentation.
  • Maintain effective communication channels to support project delivery and contractual compliance.

Reporting & Project Closeout

  • Prepare contract administration reports, trackers, dashboards, and status updates.
  • Support project closeout activities, including final accounts, warranties, guarantees, and contract completion documentation.
  • Ensure all project records are complete, accurate, and properly archived in accordance with company procedures.

Compliance & Continuous Improvement

  • Support internal audits, compliance reviews, and governance initiatives.
  • Promote contractual discipline, document integrity, and adherence to company procedures.
  • Contribute to the continuous improvement of contract administration processes, templates, reporting systems, and document management practices.

Candidate Requirements

Qualifications

  • Bachelor's Degree in:
  • Quantity Surveying
  • Construction Management
  • Civil Engineering
  • Business Administration
  • Law
  • Or a related discipline.

Experience

  • 3–7 years of experience in:
  • Contract Administration
  • Commercial Administration
  • Document Control
  • Project Administration
  • Construction Contract Management

within construction, contracting, fit-out, infrastructure, or engineering environments.

Technical Knowledge

  • Working knowledge of:
  • Construction Contracts
  • Subcontract Agreements
  • Contractual Correspondence
  • Variations
  • Claims Administration
  • EOT Procedures
  • Project Documentation Processes
  • Familiarity with FIDIC contracts and standard forms of construction contracts.
  • Experience maintaining contract registers, claims logs, variation trackers, and contractual records.
  • Strong reporting, record-keeping, and document control capabilities.

Systems & Software

  • Advanced Microsoft Excel skills.
  • Experience with document management platforms such as:
  • Aconex
  • Procore
  • ProjectWise
  • SharePoint
  • Similar contract administration systems.

Additional Requirements

  • Experience administering contractual securities such as:
  • Performance Bonds
  • Advance Payment Guarantees
  • Retention Bonds
  • Insurance Certificates
  • Parent Company Guarantees
  • Knowledge of Qatar construction contracting practices and public-sector procurement procedures is highly desirable.
  • Arabic language proficiency is an advantage.
