Job Summary and Qualifications

Responsible for obtaining appropriate patient referral information and coordinating patient appointment scheduling for all providers, including, but not limited to’ physicians, advanced practice nurses and clinic nursing staff.

Essential Job Functions:

  • Initiates the collection of referral information, medical records and insurance cards and enters into Financial database.
  • Ensures that preauthorizations and precertifications are obtained on clinic visits and inpatient admissions.Collaborates with the Charge Nurse to maintain the clinic schedule.Coordinates second visits with staff members and creates schedules for pretests and second visits.
  • Displays excellent customer service skills to internal and external customers.
  • Completes other duties as assigned.

  • Must learn and comply with System and facility safety policies and rules; must use appropriate safety equipment and procedures at all times; must immediately report all unsafe conditions to supervisors; must be familiar with all safety features of equipment, tools or materials encompassed by job duties; and must check with supervisors (prior to job performance) if there is a question as to the safe procedure to be used for any job function.
  • Adheres to the MHS Code of Conduct and demonstrates ethical behavior as expected by our patients, colleagues and the community. Understands the personal obligation to report any activity that appears to violate applicable laws, rules regulations or the Code of Conduct itself.
  • Provide direction to visitors, patients, and phone calls as appropriate.
  • File correspondence and records in patient charts and check for accuracy of placement in chart prior to re-filing.
  • Maintain a positive and productive working relationship with physicians, nursing staff, and other departments within the hospital
  • Provide back-up coverage for Referral/Appointment Scheduling Coordinator.
  • Completes other duties as assigned.

Required Knowledge, Skill, Abilities and Other Job-Related Characteristics (KSAOs)

Minimum Education and Experience:

  • Education: High school graduate or equivalent education required. Bachelor’s Degree preferred.
  • Experience: Minimum of three (3) years experience in a medical office setting.
