Coordinator & Design, Irrigation

Responsible for working closely with the Irrigation Sales Team to oversee the coordination of irrigation projects, manage the day-to-day aspects of irrigation projects, and design irrigation projects via IrriCad/AutoCAD.

Essential Job functions/ Duties:


Coordinator Functions:

  • Prepare and open irrigation project estimates promptly and accurately by creating material lists, pulling & staging materials.
  • Create and upload/ attach data sheets and labor sheets. Receive signed customer agreements and attach to irrigation projects.
  • Ensure proper signatures and documentation are collected when project changes occur.
  • Complete Irrigation Weekly Review spreadsheet and email out weekly.
  • Work with CRM – Salesforce to ensure all projects and designs are updated with accuracy.
  • Create presentation packets for Irrigation Sales Representatives to share with customers.
  • Responsible for finding alternative sources for irrigation project materials.
  • Process direct orders from various vendors and negotiate pricing.
  • Process labor invoices.
  • Follow up on orders and vendor invoices.
  • Follow up on material returns to ensure accurate accounting of credits.
  • Verify customer account information (credit, cash, packinghouse).
  • Contact packinghouses to verify approval to use packinghouse accounts for billing purposes.
  • Submit requests to accounting for cash and credit account creation.
  • Work with accounting to settle and close projects.
  • Progress bill customers as project advances.
  • Verify receipt of progress payments.
  • Apply progress payments against sales orders.
  • Final bill irrigation projects promptly and accurately.
  • Coordinate material pickup with customers and sub-contractors. Schedule and coordinate delivery of materials to job sites as needed.
  • Assist with scheduling sub-contractors during installation phase of projects.
  • Update SAP project stages (inquiry, quotation, contract) Add Salesforce ID #’s to irrigation projects before close
  • Review goods issue tickets, purchase orders, project numbers, etc. to maintain project files


Designer Functions:


  • Works closely with Salesperson/Growers to discuss the designs of a new or existing

irrigation systems, according to the grower's application or needs.

  • Understands and evaluates field work in preparation for design.
  • Designs systems with pumps, pipelines, filters, emission devices as the need requires and makes complete material take off lists.
  • Communicates installation instructions for irrigation jobs with sub-contractor(s).
  • Maintain a completed design drawing file.
  • Maintain IrriCad Database and IrriCad program upgrades.
  • Maintains a contact sheet of current and potential customers
  • Performs other duties


Minimum Qualifications (Education, Certifications/Licenses, and Experience:

  • 3 - 5 Irrigation & Design experience required
  • 3 - 5 Office/ Administrative experience required
  • Minimum High School or GED High School or GED or other related field Preferred
  • 4 Year bachelor’s degree in business or agriculture preferred
  • Required CID Certification, or ability to obtain
  • Required Valid unrestricted driver license
  • Possesses a strong understanding of irrigation parts, assembly, and irrigation vendors
  • Ability to manage a heavy workload, multiple tasks, meet frequent and overlapping deadlines.
  • Ability to respond promptly and courteously to various customer requests.
  • Possesses strong organizational skills along with the ability to prioritize and multitask.
  • Possesses knowledge of computer aided design programs (IrriCAD/AutoCAD)
  • Possesses interpersonal, teamwork, and communication skills, including ability to effectively communicate both verbally and written with internal and external customers.
  • Possesses strong computer skills: must be proficient in MS Office, Word, Excel and Outlook; ability to operate standard office equipment. Knowledge of SAP is a plus.
  • Possesses strong verbal, written and interpersonal skills.
  • Ability to understand, remember, and apply oral and/or written instructions or other information.
  • Ability to understand and follow basic instructions and policies.
  • Ability to work individually and as a team for the purpose of meeting the combined goals of the irrigation department and the organization.
  • Ability to communicate with individuals by using a telephone, various computer software programs, and in person.
