SUMMARY OF OPPORTUNITY:

The Coordinator of Experience & Operations manages the operational systems, digital platforms, and structural workflows that underpin the district’s professional learning landscape. Reporting directly to the Senior Coordinator of Staff Experience & Engagement, this role ensures that recurring learning series, evaluation frameworks, digital delivery systems, and districtwide learning events operate cohesively, predictably, and with a high standard of quality.


The Coordinator serves as a key operational gatekeeper, managing the districtwide professional learning calendar to maximize efficiency, vetting instructional content against adult learning principles, and tracking comprehensive engagement metrics. By seamlessly balancing technical systems management with cross-functional coordination, this role ensures a smooth, impactful, and professional growth experience for all school leaders and district staff.


KEY RESPONSIBILITIES


1. School Leader Professional Learning & Communication

  • Monthly School Leader PD Coordination: Manage day-of logistics, operational execution, and agenda development for recurring School Leader Professional Learning Days tailored for Principals and Assistant Principals (AP/P).
  • Quality & Alignment Vetting: Review presentation slide decks from internal facilitators and department presenters to guarantee absolute alignment with the IPS 6 Keys to Professional Learning and modern adult learning theories.
  • School Leader Calls: Coordinate and manage the logistical infrastructure, timeline, and execution of monthly districtwide School Leader Calls.
  • Strategic District Communications: Lead the curation, content synthesis, and aesthetic polishing of high-profile communication channels, specifically managing the production of the weekly Principals' Newsletter and the monthly Educator Update Newsletter.


2. Large-Scale Districtwide Professional Learning Support

  • Co-Coordination Support: Partner directly with the Senior Coordinator of Staff Experience & Engagement to execute the macro-logistics and structural design of large-scale, Districtwide Professional Learning Days.
  • End-to-End Execution: Own the foundational operational pillars for districtwide training days, including drafting clear system-facing communications, developing master agendas, managing vendor/site logistics, and handling physical or digital setups.
  • Content Vetting & Feedback: Critically review all facilitator presentation decks for districtwide days, delivering targeted feedback to cross-functional teams to ensure content adheres strictly to adult learning principles and the IPS 6 Keys to Professional Learning.
  • Data Synthesis: Oversee post-event data collection and analysis, compiling comprehensive evaluation summaries for leadership.


3. Districtwide Calendar Coordination & Strategic Planning

  • Annual Master PL Calendar: Work collaboratively across district departments annually to determine upcoming professional learning needs and architect the "big picture" macro-calendar for the district.
  • School-Centered Scheduling: Strategically schedule recurring learning series to prevent overlapping dates, ensuring school buildings do not experience a high volume of staff out concurrently for training, thereby safeguarding building coverage and operational stability.


4. Virtual Learning Programs & Platform Management

  • Virtual Lunch & Learn Series: Direct the district's virtual Lunch & Learn series for all staff; independently curate relevant topics, recruit internal and external facilitators, market the opportunities, and host/facilitate the live virtual sessions.
  • Learning Portal Administration: Serve as the primary administrator for the district's Learning Portal (Staff LMS), optimizing user experiences, organizing content delivery, and directing instructional design models.


5. Staff Evaluation Frameworks & Calibration

  • Evaluation Workflow Management: Manage data workflows related to the staff evaluation system in close collaboration with the Senior Coordinator and the Employee Relations team.
  • Framework Training & Resources: Maintain, update, and distribute evaluation guidebooks, while actively training district and school staff on evaluation frameworks, compliance metrics, and systemic expectations.
  • Rubric Calibration Support: Organize and support calibration training sessions to ensure evaluators remain standardized, fair, and consistent when applying evaluation rubrics across the district.


6. Data Analytics & Program Evaluation

  • Comprehensive PD Data Analysis: Design and implement data collection systems to continuously track, aggregate, and analyze professional learning data—including exit surveys, participant feedback, performance data, and post-training assessments.
  • Impact & Satisfaction Reporting: Evaluate and report on program engagement, classroom application, and overall staff satisfaction, translating data analytics into actionable insights to continuously optimize delivery methods.


Core Competencies

  • Operational Excellence & Organization: High attention to detail with a proven capacity to manage complex logistics, scheduling matrixes, and large-scale data workflows seamlessly.
  • Instructional Design & Content Vetting: Strong understanding of instructional design models, LMS administration, and adult learning theories to assess training quality.
  • Analytical & Data-Driven Mindset: Skilled at gathering qualitative and quantitative data, managing spreadsheets, and translating raw survey feedback into clear impact reports.
  • Cross-Functional Collaboration & Communication: Ability to build strong relationships across diverse departments to align schedules, craft polished communications, and drive collective organizational goals.


QUALIFICATIONS


  • Education:
    Bachelor's degree in Education, Learning and Development, Human Resources, Business Administration, or a related field required.
  • Experience: * Minimum of 2–3 years of experience managing program logistics, scheduling, platform administration, or data workflows, preferably in an educational or organizational learning setting.
  • Proven experience administering a Learning Management System (LMS) and managing digital communication channels, content curation, or newsletters.
  • Experience supporting or coordinating teacher evaluation processes, rubric application, or compliance data tracking is highly desirable.
  • Technical Skills: Advanced familiarity with instructional technology platforms, database management, virtual meeting platforms (Zoom/Teams), and survey design tools.
  • Contextual Insight: Experience navigating the complexities of a school district landscape, displaying deep empathy and commitment to organizational structures that directly enhance the educator experience and student success.
