Job Summary

Assist Beckman Institute faculty members in the Center for Label-free Imaging and Multiscale Biophotonics (CLIMB) with all matters related to their research, including management and oversight of research proposal preparation and submission, and serving as a liaison with publishers, granting agencies, departmental business offices and Beckman Institute staff.

Duties & Responsibilities

  • Coordinate the preparation and submission of multi-disciplinary grant proposals to various granting agencies.
  • Coordinate searches for and supervise student employees, oversee onboarding for new visiting scientists, postdoctoral and graduate student researchers and coordinate personnel appointment extensions, salary increases and labor distribution changes each term for all research staff.
  • Plan and organize reports to campus offices and federal agencies and visits from granting agencies, research collaborators and postdoctoral candidates.
  • Proofread, edit, prepare and submit scientific journal articles, student posters and student conference abstracts.
  • Assist with the electronic submission of journal manuscripts and act as a liaison with publishers, granting agencies, newspapers and other press contacts, departmental business offices and Beckman Institute staff.
  • Manage purchasing on grants, including submission of orders through i-Buy or orders placed via P-card/T-card.
  • Manage safety resources for each research group, including lab standard operating procedures, individual safety training certification and associated documents.
  • Respond to requests from both on-campus and off-campus collaborators for grant-related documents for proposals/progress reports.
  • Interact with the Office of Technology Management to manage group technology.
  • Monitor the financial activity of assigned accounts and interact with appropriate business offices to ensure accurate financial reporting and to plan and implement student and postdoctoral appointments.
  • Oversee the design and maintenance of research group web pages and wiki websites.
  • Exercise independent judgment and discretion in all areas and work largely unsupervised with only occasional guidance from the professors.

Minimum Qualifications

1. Bachelor's degree.
2. A total of one (1) year (12 months) in education, training and/or work experience in academic or clinical research environments, contributing to multidisciplinary teams and/or supporting research operations.
3. Demonstrated experience in full-cycle grant management, including proposal development, budget preparation, submission, compliance monitoring, and/or post-award administration.

Knowledge, Skills and Abilities

  • Knowledge of University policies and procedures regarding budgets and expenditures, grants and contracts, purchasing and travel
  • Demonstrated knowledge and experience in meeting submission deadlines of reports or the like that involve multi-faceted, detail-oriented tasks
  • Demonstrated ability to exercise discretion and work independently in managing and overseeing projects
  • Ability to prioritize tasks and work independently in a fast-paced, multi-tasking environment
  • Ability to develop and maintain effective work relationships with internal and external constituencies
  • Outstanding organizational skills and exceptional oral and written communication skills

Appointment Information

This is a 100% full-time Civil Service 5002 - Program Coordinator position, appointed on a 12-month basis. The expected start date is as soon as possible after the posting period closes. The salary range for this position is $61,000 - $73,000/year. Final salary offered will be determined by a thorough assessment of available market data, internal salary equity, candidate experience and qualifications, collective bargaining agreements and budget constraints.
