Position Description:
We are seeking a highly organized, tech-savvy Corporate Executive Assistant to provide high-level administrative support to senior executives within a fast-paced, professional services environment. This hybrid role in Chicago, IL is ideal for an experienced Executive Assistant who thrives in supporting C-suite or senior leadership, managing complex priorities, and driving operational efficiency.
The ideal candidate is proactive, detail-oriented, and confident managing executive calendars, travel logistics, and confidential communications. This position supports 1–2 senior leaders and plays a critical role in optimizing executive productivity, streamlining processes, and ensuring seamless day-to-day operations.
Key Responsibilities:
Provide executive-level administrative support to senior leadership
Manage complex Outlook calendars, scheduling, prioritization, and conflict resolution
Coordinate detailed domestic travel arrangements (air, hotel, ground transportation), ensuring accuracy and cost efficiency
Process and reconcile executive expense reports (Oracle or similar ERP systems preferred)
Create, edit, and format professional PowerPoint presentations, reports, and executive communications
Utilize Excel for reporting, tracking, and data organization
Plan and coordinate meetings, leadership events, and conference logistics
Serve as a gatekeeper and first point of contact for executives
Maintain strict confidentiality and exercise sound judgment in handling sensitive matters
Identify opportunities to improve administrative processes and implement best practices

Required Skills/Education:
5+ years of experience as an Executive Assistant or Senior Administrative Assistant supporting senior leadership or C-level executives
Advanced proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)
Strong experience managing complex calendars and high-volume scheduling
Experience coordinating multi-leg travel arrangements and managing expense reporting
Excellent written and verbal communication skills
Strong organizational skills with the ability to manage multiple priorities and tight deadlines
High level of professionalism, discretion, and emotional intelligence
Ability to work independently while collaborating across teams
Bachelor’s degree preferred
