Corporate Legal Assistant

Position Overview:

We are seeking a proactive and detail-oriented Legal Support Specialist with experience supporting corporate law practices. In this role, you will provide high-level administrative and legal support to attorneys handling complex business transactions, entity formations, contract negotiations, and corporate governance matters. Acting as a key liaison between attorneys and clients, you will play a critical role in ensuring smooth day-to-day operations in a fast-paced, high-stakes legal environment.

The ideal candidate is highly organized, results-driven, and capable of managing multiple assignments with minimal supervision—while maintaining the utmost professionalism and confidentiality.

Key Responsibilities:

  • Document Preparation & Management:

Draft, format, edit, and proofread a wide variety of legal documents, including corporate resolutions, contracts, NDAs, shareholder agreements, and other business-related filings.

  • File Organization & Compliance:

Maintain corporate records and legal files (both physical and digital), ensuring accuracy, organization, and accessibility. Assist with tracking filing deadlines and corporate compliance requirements.

  • Billing & Time Entry:

Enter and process attorney billable hours, manage client billing cycles, and assist in collections related to corporate law clients.

  • Scheduling & Travel Coordination:

Manage attorney calendars, coordinate meetings (including board and shareholder meetings), arrange travel, and process related expense reimbursements.

  • Client & Attorney Support:

Serve as a primary point of contact between attorneys and clients, ensuring responsive communication and supporting client relationship management in high-value corporate matters.

  • Administrative Duties:

Manage attorney emails and phone calls, prepare internal and external reports, process expense reimbursements, and assist with general office tasks and project coordination.

Qualifications:Required:

  • 3+ years of experience in a legal administrative or legal support role, with a focus on corporate law or business transactions
  • Strong understanding of corporate legal terminology, document formats, and filing procedures
  • Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint)
  • Excellent time management and multitasking skills
  • Strong written and verbal communication abilities
  • Ability to handle confidential information with discretion and professionalism

Preferred:

  • Experience supporting attorneys in a corporate law firm or in-house legal department
  • Familiarity with legal billing software (e.g., Elite, Aderant, Timeslips)
  • Experience with corporate entity management platforms (e.g., CSC, GEMS, hCue)
  • Associate’s or Bachelor’s degree in Legal Studies, Business Administration, or a related field

Job Type: Full-time

Pay: $70,000.00 - $85,000.00 per year
