Corporate Support Specialist

Role Summary:


The Corporate Support Specialist plays a key role in providing vital administrative and operational support to the Head of Corporate in managing security and facility maintenance functions across all IMI. This role is responsible for coordinating routine maintenance activities, supporting the implementation of security protocols, managing vendor interactions, and maintaining accurate documentation to ensure compliance with internal policies and safety regulations. The position contributes significantly to the smooth execution of daily operations, ensuring a secure, efficient, and well-maintained workplace environment aligned with IMI’s operational standards.



Key Responsibilities:


Administrative & Operational Coordination

  • Support the Head of Corporate in daily operations related to facility management and corporate security.
  • Assist in implementing and monitoring preventive maintenance schedules, security protocols, and safety procedures.
  • Coordinate logistics for repairs, maintenance work, and office readiness projects.
  • Prepare purchase requests, track supply inventory, and follow up on orders related to security and facilities.

Vendor & Contractor Support

  • Support communication with vendors and service providers for facility and security needs.
  • Assist in scheduling maintenance visits and ensuring service completion is documented.

Workplace Safety & Compliance

  • Support compliance with internal policies and applicable health, safety, and security regulations.
  • Maintain accurate documentation, including incident logs, maintenance records, equipment reports, and audit checklists.
  • Assist in the coordination and documentation of safety drills and emergency preparedness activities.

Communication & Staff Support

  • Act as a point of contact for staff regarding facility-related issues and security concerns.
  • Communicate relevant updates, policies, and procedures clearly and effectively to internal teams.
  • Assist in organizing meetings, preparing reports, and following up on action items related to corporate support functions.

Issue & Incident Tracking

  • Help monitor and report on facility-related issues and security incidents.
  • Ensure timely escalation of critical issues to the Head of Corporate and support resolution tracking.

Corporate Security Support

  • Assist in monitoring employee and guest access, managing the gate pass system and organizing security arrangements for events and parking management.
  • Support the supervision of security guards, daily security operations, security system functionality, configuration of access cards, and implementing security enhancement projects.
  • Contribute to the preparation of reports and forms related to daily security operations and assist in coordinating & communication with regulatory authorities.



Role Requirements:


  • Diploma or bachelor’s degree in business administration, Facilities Management, Security Management, or a related discipline.
  • Up to 2 years of experience in administrative support, office management, or a similar role, preferably in a corporate environment.
  • Strong interest and foundational knowledge in corporate operations, office administration, and facility and security support.
  • Excellent organizational and time management skills, with the ability to prioritize and manage multiple tasks efficiently in a dynamic environment.
  • Demonstrated communication skills in both English and Arabic, with the ability to interact effectively with internal teams and external stakeholders.
  • Ability to work independently and as part of a team, displaying a proactive attitude and taking initiative to improve operational efficiency.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook), with the ability to learn and adapt to new software systems or tools.
  • Detail-oriented with a service-focused attitude, ensuring accuracy and quality in all aspects of work.
