Counseling Assistant - Middle & High School (Remote - CO Based Only

Position Summary

The Counseling Assistant supports student success by maintaining accurate academic records, tracking progress toward graduation, and coordinating key elements of the counseling program. This role partners closely with counselors, students, and families to ensure clear communication, organized systems, and consistent follow-through. Through strong attention to detail and proactive support, this position helps create a structured and connected school experience.


Essential Duties (Top 5 Roles)

1) Student Records & Graduation Tracking

  • Maintain accurate student records, including transcripts, schedules, and academic history
  • Conduct regular audits to ensure alignment with graduation requirements
  • Track student progress and identify gaps or discrepancies
  • Support course updates and schedule changes in coordination with the counseling team

2) Academic Data & Program Support

  • Support implementation of the counseling program through data tracking and coordination
  • Collect, organize, and maintain student academic and engagement data
  • Prepare reports to support student progress monitoring and team visibility
  • Maintain systems that ensure accurate and accessible student information

3) Postsecondary & Career Readiness Support

  • Share resources related to college, career, military, and trade pathways
  • Assist with scholarship tracking and communication to students and families
  • Support coordination of concurrent enrollment opportunities
  • Help ensure students are progressing toward postsecondary readiness goals

4) Student Monitoring & Intervention Coordination

  • Identify students needing additional support using academic and engagement data
  • Track student support requests and monitor follow-up actions
  • Coordinate communication between counselors, educators, and families
  • Organize and maintain documentation related to student support and social-emotional needs

5) Operations & Community Support

  • Support day-to-day counseling and school operations
  • Build positive and responsive relationships with students, families, and staff
  • Assist with communication workflows to ensure timely responses
  • Contribute to a supportive and connected school community aligned with Williamsburg Learning values

Minimum Qualifications

  • Required:
    • High school diploma or equivalent required
    • Strong organizational skills and attention to detail
    • Ability to manage data, track progress, and maintain accurate records
    • Effective written and verbal communication skills
  • Preferred:
    • Associate or Bachelor’s degree in Education, Counseling, Social Work, or related field
    • Experience working with records, data, or administrative systems preferred
    • Familiarity with student information systems and data tracking tools


Physical and Mental Requirements / Working Conditions

  • Full-time remote work environment
  • Expected working hours aligned to standard business hours, with flexibility during peak periods
  • Occasional evening virtual meetings may be required
  • This is a non-exempt position and is eligible for overtime in accordance with state and federal law
  • Ability to manage multiple priorities in a structured, fast-paced environment

Salary Range

  • $21-$27/hour @ 40 hours a week
