Minimum Qualifications

High school diploma or GED. Three years of experience processing legal/public records and/or performing courtroom/public hearing procedures are required. Completion of coursework may substitute for the required experience on a year-for-year basis. Must complete the Miami-Dade County Employee Relations Department's Supervisory Certification Program.

Recruitment Notes


This is a supervisory position overseeing a staff of approximately 15 employees. Incumbent will conduct personnel management functions (i.e., interviews, selection, counseling, discipline, performance evaluations, and staff meetings), among other duties within the assigned unit.

PREFERRED QUALIFICATIONS:

  • Associate’s degree.
  • Three (3) years of experience working in the Clerk of the Court & Comptroller.


ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Review and update INFORMS online to apply and approve time worked or leave used and keep a record of the daily attendance.
  • Delegate duties and tasks to accommodate the workflow in the unit.
  • Update daily logs for the work that was processed the previous day.
  • Print, distribute and keep a record of the reports printed from On Demand.
  • Check files that were created to ensure the correct label, charge, stamp, and location are correct.
  • Contact police officers and corresponding law enforcement agencies to amend incomplete information on arrest forms and/or citations.
  • Answer telephones and emails responding to inquiries from various departments regarding unit functions.
  • Write monthly agenda, meeting minutes, and schedule monthly meetings to discuss updates, issues, and recommendations.
  • Clean the Correction queue for E-filings that were rejected post 5 days.
  • Develop, implement, and update standards, policies, procedures, and staffing needs for the unit.
  • Report system issues and follow up on progress and resolutions.
  • Attend system testing sessions, supervisor/staff meetings, and telephone conferences.
  • Research Florida Statutes.
  • Process case transfer orders to Juvenile Division (send the State Attorney a copy, log the case, place copies in file room and transfer original documents/transfer order to Juvenile Division).
  • Provide direction and guidance to employees regarding their assigned job duties.
  • Assist ASA/Officers with Document Filings/Questions/Request for A-forms.
  • Order office supplies for the unit.

WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS

Work is primarily performed in an office environment with extended periods of time using a computer. Occasional travel may be required to support job fairs and/or external events. May involve light lifting (up to 10 lbs).
