DEFINITION
Under general supervision, performs a wide variety of functions related to coordinating and scheduling various services (e.g., court interpreters, court reporters) for the courtrooms, ensuring appropriate coverage, requiring knowledge and understanding of court functions, policies, and procedures and performing related duties as assigned.
DISTINGUISHING CHARACTERISTICS
The Court Services Coordinator is a journey-level classification that performs duties requiring knowledge of Court policies and procedures related to coordinating and scheduling court related services and ensuring appropriate coverage in courtrooms. The Court Services Coordinator is distinguished from the Deputy Clerk classification in that the latter performs a wide variety of legal, clerical, and processing tasks.
Duties may include but are not limited to the following:
1. Coordinates, schedules, and assigns judicial officers, employees and/or contract staff to courtrooms daily, including faxing Court schedules and requesting schedules from individuals and/or the Sacramento Branch Courts to ensure timely and adequate coverage.
2. Collaborates and acts as liaison with other counties regarding availability of employees and/or contract staff; contacts Regional coordinator as needed to ensure coverage in courtrooms.
3. Determines priority of requests for courtroom coverage; executes and/or assigns requests accordingly.
4. Organizes and maintains various schedules, including documenting and logging schedules and availability; posts daily schedules; tracks specific requests; and maintains and updates contact information.
5. Updates calendars in the case management system to reflect scheduling changes and judicial officer assignments.
6. Receives law enforcement officer unavailability information from various law enforcement agencies and notifies the courtroom(s) per procedure.
7. Schedules and coordinates videotelephony software (e.g., Zoom) for interviews, trainings and meetings, as needed.
8. Oversees the full scope of contract staff administration, guaranteeing contractors assigned to the court have active contracts, assigned duties, and a seamless transition into their role.
9. Follows up on cancellations of contract staff and absent employees; makes changes and revisions to schedules as needed; ensures employees and/or contract staff have appropriate certification.
10. Resolves urgent and immediate requests and/or discrepancies with employees and/or contract staff, Judicial Officers, Court staff, Attorneys, Public Defenders, and the public regarding assigned courtroom services.
11. Provides thorough explanations of courtroom procedures to new Court employees and/or contract staff.
12. Performs related duties as assigned.
TYPICAL PHYSICAL REQUIREMENTS
Sit for extended periods; frequently stand and walk; normal manual dexterity and eye-hand coordination; lift and move objects weighing up to 25 lbs.; corrected hearing and vision to normal range; verbal communication; use of office equipment, including computer, telephone, calculator, copier, scanner and facsimile.
TYPICAL WORKING CONDITIONS
Work is performed in an office environment; continuous contact with other staff and the public.
OTHER REQUIREMENT
Must be able to pass a criminal history information background check.
