COURT SUPPORT SPECIALIST III

JOB
The purpose of the class is to perform a variety of moderately complex clerical work in the preparation and maintenance of department records; to perform a variety of clerical tasks as assigned; and to provide professional and courteous customer service at all times. The class is given a general outline of work to be performed and is free to develop work methods and sequences; work is reviewed periodically by supervisor.

Posting may close prior to date listed if sufficient qualified candidates are received. EXAMPLE OF DUTIES ESSENTIAL JOB FUNCTIONS

Prepares, processes, copies, indexes, files, transmits and/or maintains various department documents.

Enters criminal and traffic tickets; enrolls defendants for traffic school and/or community services programs; updates computer with dispositions; and updates status for the Department of Motor Vehicles (DMV).

Issues bench warrants; recall warrants once paid; processes other Court documents such as those related to Rule to Show Cause Hearings; signs up defendants for conditional discharges;

Prepares dockets for Court; assists judge, attorneys and officers in courtroom; processes Transport Orders for inmates to come to Court; processes commitments, orders to release or orders regarding fines; updates information once any fine has been paid; updates defendant information once time is served; notifies victims about victim rights; notifies defendants and victims of Court dates; and processes expungements and sends information to agencies as required.

Collects payments; issues receipts; answers phones; updates web pages; and directs visitors to the appropriate place.

Audits and ensures the security and confidentiality of files as appropriate.

Maintains records, prepare forms, verifies information and resolves moderately complex problems.

Prepares correspondence, memoranda, reports, etc.

Types letters, memos, and other correspondence for the appropriate office or department.

Examines documents created by other administrative support for accuracy as assigned.

Collects fines, fees and payments; and issues receipts.

Purchases and maintains office inventory levels such as paper, pens, toner, etc.

Schedules and maintains calendar of appointments, meetings and travel itineraries; coordinates related arrangements.

Resolves moderately complex issues regarding departmental operations.

May prepare and distribute minutes of meetings.

May tabulate, post, and verify information as requested.

May assist in departmental budgeting.

Assists co-workers with clerical duties as necessary.

Operates a personal computer and appropriate software packages or its equivalent.

Performs other related job duties as assigned. SUPPLEMENTAL INFORMATION WORK ENVIRONMENT

Position Type and Expected Hours of Work

This is a full-time position; typical work hours and days are Monday through Friday, 8:30 a.m. to 5:00 p.m. Some flexibility in hours is allowed, but employees must be available during the “core” work hours of 9:00 a.m. – 4:00 p.m. and must work 40 hour each week to maintain full-time status. Employees must be available to work evenings, weekends and holidays during emergencies or as requested.
