Position Overview
We are seeking a highly organized, proactive, and detail-oriented Office Assistant to support a fast-paced CPA firm. This role blends administrative support, executive assistance, and operational coordination. The ideal candidate is responsive, tech-savvy, and able to anticipate needs while maintaining a high level of professionalism and confidentiality.
Key Responsibilities
Administrative & Office Support
- Provide day-to-day administrative support to partners and team members
- Manage calendars, schedule meetings, and coordinate logistics
- Organize and maintain digital and physical files (client documents, tax returns, correspondence)
- Assist with onboarding of new clients and staff
Email Management & Communications
- Monitor inboxes and flag priority items
- Draft, proofread, and send professional email responses on behalf of partners
- Ensure timely follow-ups with clients, vendors, and internal team members
- Maintain a high standard of written communication consistent with firm tone
Personal & Executive Assistance
- Assist with personal errands for partners (appointments, reservations, travel coordination, etc.)
- Coordinate both business and limited personal scheduling needs
- Handle confidential matters with discretion and professionalism
Team Support & Coordination
- Support accounting and tax team members with administrative needs
- Assist with gathering documents, organizing workpapers, and tracking deliverables
- Coordinate with third-party providers (payroll, bookkeeping, legal, etc.) as needed
Operations & Process Support
- Help streamline internal processes and improve efficiency
- Maintain task trackers and ensure deadlines are met (tax filings, client deliverables, etc.)
- Assist in implementing and managing workflow systems
Qualifications
- 2+ years of administrative or executive assistant experience (CPA firm or professional services preferred)
- Strong written and verbal communication skills
- Exceptional organizational and multitasking abilities
- High attention to detail and accuracy
- Ability to handle confidential information with discretion
- Proficiency in Microsoft Office (Outlook, Excel, Word) and Google Workspace
- Experience with tools such as DocuSign, SmartVault, or Lacerte is a plus

Summary

Pay: $65,000.00 - $80,000.00 per month
