Job Summary

The Slate Captain is a critical technical and strategic role within Enrollment Management, serving as the primary administrator and subject matter expert for Technolutions Slate CRM. This position manages all aspects of the Slate platform to support recruitment, graduate and undergraduate admissions, international admissions, financial aid, academic advising, Student Success and Career Development, and enrollment operations across the entire enrollment funnel. The Slate Captain collaborates across the enrollment division and university to optimize system functionality, enhance communication strategies, build synergy across departments, and ensure seamless operations while supporting data-driven decision making at all levels.

Responsibilities

Slate System Administration - 40%
  • Serve as primary Slate administrator with comprehensive oversight of system configuration, maintenance, and optimization across all enrollment functions (graduate and undergraduate admissions, international admissions, financial aid, orientation, yield programs, registrar, academic advising, and student success and career development).
  • Build and maintain complex workflows, rules, decision trees, bins, and automations
  • Manage user accounts, permissions, security roles, and access controls for enrollment management staff and university partners
  • Configure application forms, portals, reader applications, financial aid forms, academic advising forms, student success and career development forms, and decision release tools
  • Coordinate Slate system updates, test new features, and implement enhancements
  • Monitor system performance, diagnose issues, and implement solutions to ensure platform stability
- Maintain integration connections with Student Information Systems, financial aid platforms, payment processors, and third-party vendors - Develop a comprehensive plan for the strategic use of Slate throughout the Enrollment Management division and campus community.

Data Management, Reporting & Analytics - 20%
  • Design, build, and maintain queries, reports, exports, and datasets supporting recruitment, admissions (graduate, undergraduate, and international), financial aid, academic advising, student success, career development, registrar, and enrollment analysis
  • Create executive dashboards and data visualizations for enrollment leadership and senior administration
  • Build and maintain specialized portals for prospective/current students, deans, faculty, and key stakeholders
  • Generate daily, weekly, monthly, and ad-hoc reports for admissions counselors, financial aid officers, advisors, student success and career development staff, enrollment leadership, and university stakeholders
  • Ensure data integrity through regular audits, validation protocols, and quality control measures
  • Collaborate with Institutional Research, IT, and Finance on data governance, FERPA compliance, data security, and accuracy
  • Support territory management, enrollment forecasting, financial aid modeling, student success and retention modeling, and predictive analytics
  • Translate complex data into actionable insights for recruitment, yield, and retention strategies
  • Track key performance indicators across the enrollment funnel from inquiry through graduation

Communication Strategy & Execution - 20%
  • Build and deploy sophisticated email campaigns, SMS messages, and multi-channel communication pathways for prospective graduate and undergraduate students, admitted students, current students, and their families
  • Develop personalized, behavior-triggered communication flows throughout the entire enrollment cycle
  • Design and optimize event registration systems, campus visit programs, virtual events, and interview platforms
  • Support financial aid communication strategies including award notification and verification processes
  • A/B test messaging strategies and analyze engagement metrics to improve communication effectiveness across all enrollment stages
  • Maintain branded email templates, portals, and digital touchpoints, ensuring consistent user experience
  • Support communication strategies for academic advising, graduate and undergraduate admissions, and student success and career development
  • Collaborate with Marketing and Communications on integrated enrollment marketing initiatives

Training, Documentation & Support - 10%
  • Provide comprehensive training to enrollment management staff (graduate and undergraduate admissions, international admissions, financial aid, orientation, academic advising, student success and career development) on Slate functionality, best practices, and new features
  • Create and maintain system documentation, user guides, standard operating procedures, and training materials
  • Offer ongoing technical support and troubleshooting assistance to Slate users across enrollment functions
  • Lead professional development sessions on data literacy, enrollment technology, and CRM best practices
  • Serve as liaison to Technolutions for technical support escalation and feature requests
  • Onboard new enrollment staff members on Slate systems and processes
  • Chair a Slate committee to oversee training and product development

Strategic Collaboration & Innovation - 5%
  • Partner with enrollment management leadership to align Slate capabilities with institutional strategic enrollment goals and net revenue targets
  • Participate in Slate user groups, conferences, and professional development opportunities
  • Research emerging enrollment technologies and recommend innovative solutions to enhance operations
  • Collaborate with Financial Aid, Registrar, Student Accounts, Bursar, Academic Affairs, and Student Life on cross-functional enrollment projects
  • Support implementation of new recruitment initiatives, yield programs, financial aid strategies, student success and retention, and enrollment interventions
  • Contribute to strategic enrollment planning and goal-setting processes
Other - 5%
  • Other duties as assigned by the Sr. Associate Vice President for Enrollment Management

Required Qualifications

Educational Requirements
Bachelor's Degree

  • Demonstrated expertise in building queries, reports, workflows, and automated processes in Slate
  • Strong technical aptitude with ability to learn complex systems quickly
  • Proficiency in data analysis, reporting tools, and spreadsheet applications (Excel, Google Sheets)
  • Exceptional attention to detail and commitment to data accuracy
  • Excellent project management and organizational skills with ability to manage multiple priorities

Required Experience
Minimum two years of hands on leadership experience with Slate or in a similar CRM/database management role

Preferred Qualifications

Preferred Educational Qualifications
  • Slate Certified Administrator credential or willingness to obtain within first year

Preferred Experience
  • 3+ years of experience in higher education enrollment management, admissions, student success, financial aid, or related field
  • Experience with SQL, HTML, CSS, Liquid Markup, or JavaScript
  • Experience with data visualization tools (Tableau, Power BI) and statistical analysis
  • Experience integrating Slate with Student Information Systems (Banner, PeopleSoft, Workday, etc.) and financial aid platforms

Proposed Salary

This position is a pay grade 10. The minimum salary starts at $60,868.00. Starting salary within this range is based on relevant years of experience.

Knowledge, Skills, & Abilities

KNOWLEDGE
  • Knowledge of CRM best practices, marketing automation, and enrollment funnel optimization
  • Familiarity with enrollment data standards, FERPA regulations, Title IV compliance, and student privacy protocols
  • Understanding of enrollment management operations including admissions, financial aid, and student success initiatives
  • Knowledge of enrollment forecasting, predictive modeling, and strategic enrollment management principles
