Summary
The Materials Management Senior Buyer is responsible for sourcing, negotiating, and procuring medical supplies, equipment, and contracted services to support clinical and operational functions. This role ensures cost-effective purchasing while maintaining high standards of quality, service, and regulatory compliance. The Senior Buyer serves as a subject matter expert for supply chain operations and collaborates closely with clinical stakeholders, vendors, and internal departments. Under the direction of the Director Materials Management, responsible for the organization and coordination of the day-to-day workflow in the Materials Management Department including procurement, inventory control, cost containment, standardization and contract compliance. Assists with preparation of procurement documents, delivery and shipping of all hospital equipment and supplies. Assumes responsibility for operation of the department in the absence of the Director.
Essential Duties and Responsibilities
- Lead Procurement of medical supplies, equipment, and services in alignment with organizational needs
- Evaluate vendor proposals, negotiate pricing, contracts, and terms to maximize value
- Conduct sourcing activities, including RFP/RFQ processes, cost analysis, vendor evaluation, and contract negotiations
- Maintain strong vendor relationships and monitor supplier performance
- Maintain expertise in capital equipment acquisition processes, including specification development, quoting, and contracting.
- Ensure compliance with internal policies, regulatory standards, and accreditation requirements
- Collaborate with clinical, financial, and operational teams to support budgetary and patient care objectives
- Process purchase orders, track shipments, and resolve discrepancies
- Resolve supply issues, delays, backorders, and product substitutions.
- Maintain accurate purchasing documentation for audits, compliance, and organizational reporting.
- Maintain accurate records of purchases, contracts, and vendor communications
- Confirm pricing, rebates, and contract alignment for supplies
- Identify cost-saving opportunities, alternative products, and standardization options
- Utilize the Materials Management Information System (MMIS) for purchasing, tracking, and reporting
- Facilitate equipment rentals, repairs, and loaners as required
- Support value analysis activities and participate in supply chain committees as needed
- Partner with clinical leaders to assess product needs, evaluations, trials, and standardization opportunities.

Other Experience/Qualifications
Required:
- 3-5 years of related procurement or healthcare experience.
- Knowledge of medical supplies, equipment, and healthcare regulations
- Strong negotiation, analytical, communication skills and analytical skills

Preferred:
- Bachelor’s degree in Supply Chain, Business Administration, Healthcare Administration, or related field
- CMRP (Certified Materials Resources Professional) or equivalent certification
- Experience with capital equipment procurement
