Customer Relations Administrator

Position/Title: Customer Relations Administrator

Reports to: President & CEO and General Manager

Position Summary:

The Customer Relations Administrator provides daily administrative assistance to BCA Sales Staff; assists the General Manger and President/CEO with special projects; and assists BCA families as needed. The role requires a high degree of professionalism, discretion, organizational skill, and the ability to anticipate needs, think proactively, and adapt to changing priorities.

Bellefontaine Cemetery and Arboretum is a historic, nonprofit cemetery and Level III arboretum serving families and the community through responsible stewardship, preservation, and professional service. In all responsibilities, this position plays an important role in ensuring operational excellence, clear internal coordination, and consistent, high-quality service to the families and visitors we serve.

Remote Work: Remote work is not available for this position. This role requires on-site, in-person work to perform essential job duties.

Essential Duties and Responsibilities:

  • Supporting sales staff with transactions and customer follow-up, including but not limited to preparing contracts and documents, obtaining signatures (in-person or electronically), processing payments, coordinating installment payments, etc.
  • Answering phones and qualifying leads.
  • Processing first call/interment orders.
  • Review and process sales and funeral contracts and payments, including but not limited to scanning, archiving, and making copies.
  • Managing and programming databases and other confidential records related to sales efforts; associated database cleaning and record entry; maintaining sales-related customer data; updating records as needed.
  • Guiding tasks toward meeting sales goals and more efficient processes.
  • Creating and generating sales reports and correspondence, including but not limited to weekly and monthly sales reports; status and property reports; mass communications; etc.
  • Bookkeeping and monthly/year-end reconciling with finance; sales budget preparation.
  • Plan and manage the annual Memorial Glow, including but not limited to preparing the email invitation list, lantern labels, ordering supplies, and event coordination with appropriate BCA staff.
  • Plan and manage the annual Holiday Remembrance, including but not limited to preparing the email invitation list, preparing remembrance ornaments, ordering supplies, and event coordination with appropriate BCA staff.
  • Confirm and order memorial markers for Angels Rest burials.
  • Manage annual spring and holiday greenery orders, including but not limited to newsletter articles, mass email communication, and distribution coordination with appropriate BCA staff.
  • Provide backup support and coverage to the Office Manager and part-time Administrative Assistant, including but not limited to answering phones, admitting office access, taking interment orders, etc.
  • Other related responsibilities and duties as deemed appropriate by managers.

  • Supports the President, General Manager, VP of Customer Relations, and Office Manager when needed.

Work Schedule Requirements:

As an exempt position, work hours may vary based on organizational needs.

Qualifications and Requirements:

  • Minimum of three (3) years of professional administrative support experience and/or customer service.
  • High Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Proficiency with Adobe Acrobat.
  • Experience with Salesforce preferred.
  • Demonstrated proficiency in the responsibilities and tasks outlined in this job posting.
  • Professional and positive demeanor with strong interpersonal and communication skills.
  • Forward-thinking and proactive, with the ability to anticipate needs, problem-solve independently, and pivot effectively in a dynamic environment.
  • Ability to manage shifting priorities, exercise sound judgment, and maintain strict confidentiality.
  • Ability to work independently and collaboratively in a fast-paced environment.

Education:

  • Associate’s degree preferred.

Physical Demands:

  • Ability to lift and carry up to 50 pounds unassisted.
  • Ability to sit, stand, bend, and reach for extended periods of time.
  • Ability to work primarily in an office environment, with occasional outdoor work on cemetery grounds.

Position Details:

  • Full-time, exempt position.
  • Annual salary range: $63,000-65,000 commensurate with experience.
  • Employment is contingent upon successful completion of a background check and lift test prior to hire.

Schedule:

  • Primarily day shift, Monday-Friday 8:00 am-4:30 pm.
  • Occasional evening and weekend work required.
