Job Overview
We are seeking a dedicated and enthusiastic Customer Service 2 representative to join our dynamic team. This role is essential in providing exceptional customer support and ensuring client satisfaction. The ideal candidate will possess strong communication skills, a customer-centric mindset, and the ability to handle various tasks efficiently in a fast-paced environment.

Duties
Customer Care will help determine customer requirements, prepare bids and quotations, submit tenders, and take orders from, or enter into contracts with, customers. They will submit invoices and perform collection activities, as necessary. They will also be responsible to process customer feedback and complaints and to measure customer satisfaction. They will also provide marketing materials and support to outside sales people, as needed. This position reports to the president and administration. This position will be responsible for sales, customer service, and marketing. We work with a proprietary system, integrated with QuickBooks, which the position will receive on the job training for.

  • Answer phones
  • Work with production to maintain inventory levels
  • Preparing quotations
  • Collections
  • Entering off-the-shelf, marketing, and custom orders
  • Receiving, entering, and processing change orders
  • Processing and shipping both domestic and international (FedEx/UPS/DHL, including EEI filing, where required) sales
  • Providing product information (mail and/or email)
  • Processing and providing required official international documentation
  • Receiving and logging customer feedback and complaints
  • Processing and responding to customer complaints
  • Gathering of information and data about customer satisfaction
  • Analyzing, reporting and presenting customer satisfaction information and data (preparing reports, plotting charts, holding meetings, etc)
  • Communications with international clients and distributors
  • Fast paced!
  • Physical Requirements: moderate walking, lifting up to approximately 20lbs, weekly assigned cleaning which changes monthly - the team shares this task.

Shipping & Receiving (half day & fill in):
Shipping and Receiving Qualifications/Skills:

  • Scanning and sorting incoming and outgoing stock
  • Receiving, stocking, and stacking
  • Pulling, packing, and loading
  • Prepare shipping labels and any and all required international shipping paperwork.
  • Complete FedEx, UPS and DHL ship management fields, accurately and completely to create shipments that are billed/allocated properly
  • Good written and verbal communication skills
  • Strong sense of time organization and urgency
  • Able to work independently and within a team
  • Microsoft Office (for logs and other required documentation)
  • Adobe or other PDF editing program (shipping documentation preparation, editing, signature and saving).

Education, Experience, and Licensing Requirements:

  • Must be well-versed in Microsoft Office and AdobePDF. We work with an ERP system that integrates with QuickBooks. Must be well-spoken for answering phones, as well as the ability to compose detailed, professional and accurate emails, both interoffice and those addressed to doctors, hospitals and outside sales force. College degree in sales, marketing, business, or similarly applicable degree (preferred but not required) or 2 years’ experience in applicable field.
  • · Minimum 6 months logistics, shipping and receiving experience preferred
  • · Familiarity with Teams chat preferred
  • We are an ISO 13485 Certified and FDA cleared medical device manufacturer. This position will be subject to internal audits, as well as by these governing agencies
  • This is an hourly position, 8:00 to 5:00 Monday through Friday. Pay will be based on experience and increases based on performance and attendance.

Skills

  • Proficiency in English; bilingual or multilingual abilities are highly desirable.
  • Strong customer service experience, ideally within a call center environment.
  • Excellent communication skills, both verbal and written, with a focus on client services.
  • Ability to analyze customer needs and provide tailored solutions.
  • Familiarity with cash handling procedures is a plus.
  • Competent typing skills for efficient data entry tasks.
  • Solid computer skills, including proficiency in Microsoft Office Suite.
  • Previous sales experience is beneficial but not mandatory.
