Customer Service Representative

Responsibilities

  • Greet customers warmly at the front desk and manage multi-line phone systems efficiently to direct calls appropriately
  • Handle customer inquiries via phone, email, or in person with professionalism and a positive attitude
  • Maintain accurate data entry, filing, and record-keeping using Microsoft Office, Google Workspace, and other office management tools
  • Assist with appointment scheduling, calendar management, and basic bookkeeping tasks using QuickBooks or similar software
  • Support administrative duties such as proofreading documents, managing office supplies, and organizing files to ensure smooth daily operations
  • Provide excellent customer support by addressing concerns promptly and following up to ensure satisfaction
  • Perform clerical tasks including typing, data entry, filing, and maintaining office cleanliness and organization

Experience

  • Previous office experience or administrative support background is preferred
  • Familiarity with multi-line phone systems, Microsoft Office Suite (Word, Excel, Outlook), and Google Workspace is essential
  • Bilingual skills are highly desirable to assist a diverse client base effectively
  • Experience in customer service roles within medical or dental offices is a plus
  • Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Proven ability to handle phone etiquette professionally and maintain confidentiality when managing sensitive information
  • Personal assistant or receptionist experience that includes calendar management or bookkeeping will be considered an asset
