Schedule: Monday-Friday 7:00am-4:00pm
Travel Requirements: Work on location in Tumwater, with frequent travel in Thurston County and occasional travel required throughout the state.

What you will be doing:
You will serve as the lead for Fleet’s transportation operations, overseeing the workflow of receiving, prepping, deploying, and turning in vehicles, and coordinating the work of transportation helpers and drivers. As the Fleet Pre-Delivery Dispatcher, you will assist in Fleet Operations duties to include the following: receive, track, and process new vehicle deliveries; purchase order verification of delivered vehicles; process surplus vehicle and equipment; maintain accurate inventory log of new and surplus vehicles located statewide; and coordinate the dispatching, delivery, and pickup of Fleet and Surplus Operations vehicles. The successful completion of these duties will effectively enable Fleet Operations to provide customer agencies with safe, reliable, economical, and environmentally friendly vehicles.
Working Conditions:
Tools and Equipment
Sit down forklifts, Safety vest and/or jacket, gloves and appropriate PPE as needed. Various shop tools, such as power drills, buffer, and miscellaneous small tools.
Customer Interactions
Frequent: Coordinating new vehicle pickup and delivery with customers. Answer customer questions and provide solutions in-person, by email, and over the phone.
Work Setting
Frequent: A majority of the work will be done outdoors, in seasonally inclement weather conditions.
Some of what you will enjoy doing includes:

Providing direction to transportation helpers and CSS2s during vehicle prep activities.

Ensuring consistent application of Fleet’s standards during inspections and prep.

Receiving new vehicles from the dealers; to include verifying delivered vehicle(s) match the delivery paperwork (Bill of Lading or dealer invoices) and the original purchase order documents(s).

Verifying new vehicles are delivered with required delivery paperwork and specified after-market equipment.

Preparing and processing receiving paperwork for Fleet Operations Customer Account Representative (CAR) and Billing Sections.

Preparing vehicles for agency pick up and/or delivery; to include install license plates, fueling, fluid checks, removal of dealer stickers and vehicle wrap, proper installation of state logo decals, maintenance stickers, and new vehicle packet paperwork.

Deploying vehicles to customer agencies: to include providing instruction and training to customers on new vehicle operation.

Receiving and inspecting agency turn-in vehicles for condition and safety concerns.

Serving as the primary point of coordination for all transportation driver assignments.

Scheduling and dispatching drivers to appropriate locations according to Customer Account Representative, CARs Supervisor or Dispatch Customer Service Manager’s deployment request.

Coordinating vehicle transport to a variety of vendor facilities and throughout DES locations.

Assigning drivers routes, destinations, and timelines, as well as maintaining contact with drivers who are on the road.

Evaluation of turn-in vehicle(s) condition to include vehicle damage, interior condition, tires, windshield, customer concerns, road test, and report safety items to supervisor.

Documenting condition of vehicles using the Fleet Operations turn-in inspection form.

Removal of all state property and decals; remove log, and dispose licenses, clean and detail when needed.
REQUIRED:
Three (3) years of experience providing assistance to clients/customers regarding inquiries, complaints or problems.
OR
One year of experience as a Customer Service Specialist 2.
OR
Equivalent education/experience.
AND
-
Two years of professional work experience in Fleet Management, Fleet Administration, or related field. Experience may be gained concurrent to the above required experience.

Ability to move items up to 40 lbs.

Must possess a valid driver’s license under Washington State law and maintain a driving record free from serious traffic violations.
