Role Description:

To coordinate and manage the end-of-the-end customs clearance and logistics operations for the auto and marine divisions (import/export of vehicle parts, marine engine/spare parts, equipment, etc.). Ensures compliance with customs and trade regulations, timely shipments, cost-effective transport, and smooth coordination among internal teams (procurement, operations, sales) and external stakeholders (freight forwarders, customs brokers, carriers).

Key Tasks:

Customs & Clearance:

  • Manage Dubai Trade accounts for the entire group.
  • Oversee import customs clearance for all incoming shipments in full compliance with Dubai customs regulations.
  • Prepare, review and submit import/export documentation (commercial invoices, packing lists, bills of landing, airway bills, certificates of origin, dangerous goods declarations if applicable).
  • Ensure accurate HS code classification, application of duty exemptions, and adherence to port authority requirements.
  • Submit all original documents to Dubai Customs within the required timelines.
  • Liaise with customs brokers, freight forwarders and port/terminal authorities to ensure timely clearance of goods.
  • Monitor and ensure compliance with UAE & GCC customs regulations and trade requirements (e.g., duties, exemptions, free-zone clearances).
  • Maintain accurate customs & logistics filing systems and support audits.
  • Manage Zajel and Noqodi & EDAS accounts.

Order & Supplier Coordination / Shipping & Logistics Coordination:

  • Maintain shipment status dashboards, KPIs (e.g., on-time delivery, clearance delays, transport cost variance).
  • Send SMAG orders to suppliers and monitor consignment readiness per the production schedule.
  • Track and follow up on shipment progress to ensure on-time delivery.
  • Monitor transport costs, transit times, delivery performance; propose improvements, reduced downtime and logistics overheads.
  • Work with procurement, warehousing, operations and sales teams to ensure timely fulfilment of parts/equipment orders.
  • Address and escalate any order-related issues such as production delays or missing items
  • Coordinate with shipping lines and suppliers to ensure timely shipment readiness and arrival.
  • Arrange and collect Delivery Orders from shipping lines to prevent demurrage or detention charges.
  • Verify consistency of cargo details between shipping documents and Bills of Lading.
  • Arrange transportation and release of shipments from ports.
  • Work closely with freight forwarders and transporters to manage cargo movements.
  • Negotiate shipping and transportation rates with agents to optimize cost.
  • Obtain and review freight quotations and ensure payment processing in line with order terms.

Insurance & Claims Handling:

  • Support the marine insurance team in claiming submissions and protest letters.
  • Prepare and maintain marine insurance documentation for import/export shipments.
  • Ensure complete documentation to support all insurance claims.
  • Coordinate with the insurance team and suppliers to resolve shipment-related issues promptly.

Health, Safety & Quality:

  • Adhere to company HSE and quality procedures when coordinating transport, handling marine/auto parts, and customs clearance.
  • Ensure compliance with internal logistics SOPs and regulatory safety standards relevant to transport of parts/equipment.

Knowledge, Qualifications & Skills required:

  • Bachelor’s degree in supply chain management, Logistics, Business Administration, or related field.
  • Minimum 3-5 years of relevant experience in customs clearance/logistics coordination, preferably in UAE/GCC region and/or with auto/marine or parts industry.
  • Strong working knowledge of customs procedures, import/export documentation, Incoterms, freight forwarding.
  • Experience coordinating multimodal shipments (sea/air/road) and liaising with freight forwarders, carriers, customs brokers.
  • Proficient in MS Office (especially Excel) and ideally familiar with ERP/WMS systems.
  • Excellent communication skills (internal stakeholders, external agents) and ability to manage multiple shipments & deadlines.
  • Attention to detail, strong organizational and problem-solving skills.
