Job Description
Guest and Visitor Management:
• Greet and welcome visitors promptly upon arrival, announcing their presence to relevant teams.
• Manage visitor access via the NASTP portal, ensuring compliance with security protocols.
• Maintain an updated log of visitor cards, including tracking and recovering lost cards.
Administrative and Executive Support:
• Schedule and coordinate meetings, appointments, and events for the Managing Director, updating calendars and reservation systems accordingly.
• Oversee boardroom and town hall bookings, ensuring efficient utilization and timely setup.
• Handle incoming mail distribution, maintain logs for outgoing mail, and ensure timely delivery with recipient sign-off.
Communication and Coordination:
• Screen, answer, and forward incoming calls to appropriate departments or personnel.
• Initiate internal announcements via speaker system (DING), email, or other platforms as needed.
• Collaborate with the NASTP team to resolve routine administrative challenges and ensure smooth operations.
Operational and Facility Management:
• Maintain the cleanliness, organization, and readiness of the reception area and adjacent meeting rooms, ensuring availability of stationery, equipment (e.g., markers, dusters, LED remotes), and other essentials.
• Monitor and address transportation-related inquiries for female employees, including route adjustments, vendor coordination, and payment resolution.
• Keep accurate logs of start and end times for female commuters utilizing transport services.
Position Requirement
• Fluency in English (written and spoken).
• Proficiency in Microsoft Office Suite (Word & Excel) and calendar management tools.
• Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
• Familiarity with internal communication platforms (e.g., email systems, DING, or similar announcement tools).
• Availability to work during core business hours (e.g., 9:00 AM – 6:00 PM) with flexibility for occasional during campaigns period.
