Position Overview
The Data Analyst will support a multiyear federal program delivering engineering, technical resource must have practical experience using Smartsheet (preferably Smartsheet Gov) to support program or portfolio tracking in a federal or enterprise environment. The individual should understand how to create and maintain Smartsheet sheets used to track activities such as contracts, projects, or program actions, including structuring columns, managing updates, and maintaining data accuracy across multiple stakeholders.
The role requires experience with Smartsheet reporting and dashboards to provide status visibility for leadership, as well as experience configuring automated workflows such as update requests, alerts, approval routing, and forms used to collect information from stakeholders and ensure data is consistently updated. The candidate should understand and work with workflow automation with Smartsheet, reduce manual updates, and improve coordination across teams. Experience using features such as cross-sheet references, reports, and automated notifications is important to ensure portfolio data can be aggregated and shared with program leadership.
Candidates should also have experience working with related collaboration and reporting tools such as SharePoint, Microsoft Excel, and Teams Channels. Experience with advanced Excel formulas and SQL is required. The candidate should demonstrate the ability to organize and maintain structured program data, support reporting requirements, and collaborate with stakeholders to keep portfolio information current and accurate in accordance with program management processes. Creating forms and data management within SharePoint is a required skill.
Key Responsibilities
Smartsheet (Smartsheet Gov) Tasks
- Create and maintain Smartsheet sheets to track contracts, projects, and program activities
- Structure and manage columns, metadata, and data fields to support portfolio tracking
- Coordinate and manage stakeholder updates to ensure data accuracy and completeness
- Develop and maintain Smartsheet reports to aggregate data across multiple sheets
- Build and update leadership dashboards to provide real-time program status visibility
- Configure and manage automated workflows, including:
- Update requests
- Alerts and notifications
- Approval routing
- Data collection forms
- Implement workflow automation to:
- Reduce manual data entry
- Improve coordination across teams
- Ensure timely updates
- Utilize cross-sheet references to link and aggregate program data
- Configure automated notifications and reporting outputs for stakeholders
- Ensure Smartsheet data supports portfolio-level reporting and decision-making
SharePoint / Teams / Data & Reporting Tasks
- Administer and maintain SharePoint sites, lists, and document libraries
- Organize and manage structured program data and documentation repositories
- Create and manage SharePoint forms and data collection mechanisms
- Support data governance and content organization within SharePoint environments
- Maintain program documentation, templates, and knowledge resources
- Collaborate with stakeholders using Microsoft Teams channels and collaboration tools
- Support integration and coordination between SharePoint, Smartsheet, and reporting tools
- Develop and support reporting solutions using Excel and Power BI (if applicable)
- Apply advanced Excel formulas and SQL to analyze and validate program data
- Ensure data accuracy, consistency, and alignment with program management processes
- Support ongoing data maintenance, updates, and quality control activities
System Optimization & Performance
- Recommend proactive improvements, performance tuning, and security enhancements across products.
- Ensure high availability, scalability, and resilience of Microsoft product environments.
- Provide technical leadership in developing system documentation, SOPs, and technical reports.
Security & Compliance
- Support compliance with federal security standards and agency-specific cloud security requirements.
- Recommend and implement best practices for identity management, access control, and data governance across Smartsheetgov and Microsoft SharePoint.
Required Qualifications
- Bachelor’s degree in Computer Science, Engineering, Information Systems, or related field or product certifications.
- 4+ years of experience using Smartsheet, SharePoint, and Teams
- Strong understanding access management.
- Ability to troubleshoot technical issues
- Must be able to obtain and maintain a Public Trust Clearance
Preferred Qualifications
- Smartsheet and SharePoint certifications
- Expert knowledge of Dashboarding
- Significant experience supporting federal environments or large enterprise systems
- Experience working with end users of all experience levels
