The Data Entry Clerk – Export & Import is responsible for accurately entering, updating, and maintaining import and export documentation and related data in internal systems. The role supports the logistics, shipping, and compliance teams to ensure the smooth flow of goods across international borders, adhering to company policies and relevant regulations.
What you will do?
- Input and manage data related to shipments, invoices, purchase orders, bills of lading, packing lists, certificates of origin, and other relevant documents.
- Ensure accuracy of product codes (HS codes), quantities, pricing, and shipping details.
- Maintain up-to-date records in internal systems (e.g., ERP or logistics software).
- Prepare and submit customs documentation as needed under the guidance of the compliance or logistics manager.
- Coordinate with freight forwarders, customs brokers, suppliers, and internal departments to gather and verify necessary documentation.
- Track shipments and update shipment statuses in the system.
- Assist in generating export/import reports and statistics as required.
- Monitor deadlines for document submission and compliance requirements.
- Ensure data entry complies with import/export laws, international trade regulations, and company policies.
- Identify and flag inconsistencies, missing information, or potential errors in documentation.
What do we want?
- Familiarity with export/import documentation (e.g., LC, Bill of Lading, Commercial Invoice).
- Experience communicating with customs brokers or freight forwarders.
- Ability to multitask and handle repetitive tasks with consistency.
- B.com or additional certifications in logistics, international trade, or data entry are a plus.
- Proven experience in data entry, preferably in an export/import, shipping, or logistics environment.
- Proficient in MS Office (Excel, Word) and experience with ERP or shipping software (e.g., SAP, Oracle, or CargoWise).
- Basic understanding of international trade terms (Incoterms), customs procedures, and shipping documentation.
- Strong attention to detail and high level of accuracy.
- Good organizational and time management skills.
- Ability to work under pressure and meet tight deadlines.
