Job Summary

We are seeking an experienced Data Entry / Invoice Team Supervisor to oversee daily invoice processing and data entry operations. The successful candidate will be responsible for ensuring the accuracy and timely processing of invoices, supervising the data entry team, maintaining proper documentation, and coordinating with various departments to ensure efficient workflow and compliance with company procedures.

Key Responsibilities

  • Supervise and manage the Data Entry and Invoice Processing Team.
  • Ensure accurate and timely entry of invoices, delivery notes, and related documents into the system.
  • Review and verify invoices for accuracy, completeness, and compliance with company policies.
  • Monitor daily workload and allocate tasks to team members.
  • Ensure proper filing, record keeping, and document control.
  • Investigate and resolve invoice discrepancies and data-related issues.
  • Coordinate with Sales, Warehouse, Accounts, and other departments regarding invoice and documentation matters.
  • Generate and review reports related to invoicing and data entry activities.
  • Train, guide, and evaluate team members to maintain high performance and accuracy standards.
  • Develop and implement process improvements to enhance efficiency and reduce errors.
  • Ensure confidentiality and security of company records and data.

Requirements

  • Bachelor's Degree or Diploma in Business Administration, Accounting, Finance, or a related field.
  • Minimum 3 years of experience in data entry, invoicing, administration, or related functions, including supervisory experience.
  • Strong knowledge of invoicing procedures and document management.
  • Proficiency in Microsoft Office applications, particularly Excel.
  • Experience using ERP systems or accounting software.
  • Excellent attention to detail and organizational skills.
  • Strong leadership, communication, and problem-solving abilities.
  • Ability to work under pressure and meet deadlines.

Preferred Qualifications

  • Experience in FMCG, manufacturing, trading, or distribution companies.
  • Familiarity with inventory and accounting processes.
