Role Overview:

We are looking for a meticulous and proactive Data Entry & Reporting Executive to support our Operations Team. This role is responsible not only for maintaining accurate operational records but also for creating, maintaining, and improving dashboards and reporting tools that drive decision-making across departments. You will play a critical role in ensuring our property management, guest services, and vendor coordination run efficiently and data is consistently reliable for both operational and accounting needs.

Key Responsibilities:

Data Entry & Operations Support

  • Accurately enter and maintain property details, booking information, maintenance records, housekeeping schedules, and vendor data into internal systems.
  • Regularly update listings across multiple platforms (e.g., Airbnb, Booking.com, Vrbo, internal website).
  • Perform daily data entry tasks in coordination with the Operations and Accounts departments.
  • Identify and flag discrepancies or inconsistencies in operational or financial data.
  • Support audits by preparing clean, accurate datasets.

Dashboard Creation & Reporting

  • Create, update, and maintain operational dashboards to support daily decision-making.
  • Develop and improve Power BI dashboards, Google Data Studio dashboards, and other reporting tools as required.
  • Generate daily, weekly, and monthly operational reports, including:
  • Property occupancy rates
  • Maintenance ticket status
  • Housekeeping and turnaround schedules
  • Inventory tracking
  • Reconcile and validate data to ensure accuracy before reporting.
  • Continuously improve existing reporting structures and workflows for better efficiency and usability.

Cross-Functional Collaboration

  • Assist in performance tracking of vendors, cleaning teams, and service providers.
  • Collaborate with Operations, Accounts, and Guest Relations teams to gather data and optimize processes.
  • Maintain confidentiality and secure sensitive information at all times.

Requirements:

  • Previous experience in data entry, reporting, or administrative roles (experience in hospitality or property management is a plus).
  • Strong proficiency in Microsoft Excel (pivot tables, formulas) and/or Google Sheets.
  • Experience or familiarity with Power BI, Google Data Studio, or other data visualization tools (preferred but not mandatory).
  • High attention to detail and accuracy.
  • Strong organizational skills and ability to manage multiple tasks and deadlines.
  • Comfortable working in a fast-paced, dynamic environment.

Preferred Qualifications:

  • Diploma or Bachelor’s degree in Business Administration, Hospitality Management, Data Analytics, or a related field.
  • Familiarity with Property Management Systems (PMS) or booking channel managers (e.g., Hostaway, Guesty).
