Position Overview

As a Date Entry Specialist, you’ll serve as a key liaison between project managers, and engineering teams. You will manage client inquiries, maintain accurate documentation, and support the flow of project deliverables.

What You’ll Do

  • Serve as the primary contact for client inquiries across phone, email, and internal systems.
  • Coordinate communication across clients, project managers, engineers, and internal teams.
  • Track, prioritize, and resolve customer requests efficiently.
  • Maintain organized customer records and project documentation.
  • Support scheduling, project updates, and coordination of deliverables.
  • Prepare documents, perform data entry, and generate reports.
  • Provide proactive updates on timelines, deliverables, and service requests.
  • Collaborate with cross‑functional teams to improve service processes and operational efficiency.
  • Monitor incoming inquiries and manage workload based on urgency.
  • Assist with onboarding new clients and maintaining accurate client information.
  • Ensure compliance with internal procedures and documentation standards.
  • Demonstrate strong attention to detail in all communications and tasks.
  • Perform additional administrative and operational duties, including limited weekend support.

What You Bring

  • Associate or bachelor’s degree in business, communications, engineering support, or related field preferred.
  • 2+ years of experience in customer support, project coordination, or administrative roles.
  • Experience in engineering, construction, utilities, or technical consulting is a plus.
  • Excellent written and verbal communication skills.
  • Strong customer‑service orientation and relationship‑building skills.
  • Exceptional organization, time‑management, and attention to detail.
  • Proficiency with Microsoft Office; experience with CRM or project‑tracking tools preferred.
  • Problem‑solving mindset with ability to escalate issues appropriately.
  • Ability to work both independently and collaboratively.
