Job Purpose

The Customs System Operator is responsible for ensuring the accurate and timely processing of all customs-related documentation within the company’s customs clearance systems. This role supports the smooth import and export of goods, ensures compliance with customs regulations, and coordinates with internal teams and external authorities to facilitate uninterrupted product flow to retail operations.

Key Responsibilities

1. Customs Documentation & System Processing

  • Enter and validate shipment details in customs clearance systems (e.g., ASYCUDA, Bayan, or local customs portals).
  • Prepare and upload required customs documents including invoices, packing lists, permits, and certificates.
  • Ensure accuracy of HS codes, product descriptions, and declared values.

2. Compliance & Regulatory Requirements

  • Ensure all customs operations comply with local laws, regulations, and company policies.
  • Monitor changes in customs regulations and report updates to management.
  • Maintain organized and audit-ready records of all customs transactions.

3. Coordination & Communication

  • Liaise with freight forwarders, customs brokers, suppliers, and internal departments to ensure smooth clearance.
  • Follow up with government authorities on clearance delays or required approvals.
  • Provide regular updates to warehouse, logistics, and merchandising teams regarding shipment status.

4. Tracking & Reporting

  • Monitor shipment progress from arrival to final clearance.
  • Generate and submit daily/weekly customs clearance reports.
  • Highlight risks, delays, and compliance issues to management.

5. Data Accuracy & System Maintenance

  • Maintain accurate product data (HS codes, duty rates, origin information) in the system.
  • Support periodic audits and inventory reconciliations related to customs processes.
  • Identify system errors or inconsistencies and escalate to the concerned team.

Qualifications & Requirements

Education

  • Diploma or Bachelor’s degree in Supply Chain, Logistics, Business Administration, or a related field.

Experience

  • 1–3 years of experience in customs clearance, logistics coordination, or import/export operations.
  • Previous experience using customs systems (e.g., Bayan, ASYCUDA, single window systems) is preferred.

Skills

  • Strong attention to detail and high data accuracy.
  • Good understanding of customs regulations and HS classification.
  • Proficiency in MS Office (Excel, Word).
  • Ability to work under pressure and meet strict deadlines.
  • Strong communication and coordination skills.
  • Problem-solving mindset and ability to handle urgent situations.
