Job Title: Data Specialist

Department: RUBONIA COMMUNITY CENTER CLUB

Reports to: Club Director

FLSA Status: Non-Exempt

Function: Under the direct supervision of the Club Director, the Data Specialist has the general responsibility of entering Membership information and keeping membership files up to date and organized.

PRIMARY RESPONSIBILITIES AND ACTIVITIES: (not all-inclusive)

  • Working knowledge of basic clerical duties.
  • Demonstrates verbal and written communication skills.
  • Prepares, Compiles and Sorts Documents for data entry.
  • Check source documents for accuracy.
  • Verify data and correct data where necessary.
  • Enter data from source documents into prescribed computer database, files and forms.
  • Store completed documents in locked filing cabinet in designated location.
  • Demonstrates ability and aptitude in the decision making process.
  • Maintains general files, including permanent membership files and membership data.
  • Ensures that accurate membership, program and attendance records are being kept accurate and input into database.
  • Responsible for the daily clean-up of front counter area.
  • The entire registration process for all members (you are the lead of all registration- any exceptions regarding registration will only be authorized by the Club Director)
  • Key registration times: Annual Membership (January), Summer Registration, Extended Teen Registration (starting the fall of 2016), Fall Registration and ongoing registration for available openings.
  • Maintain scholarship list (150 openings for scholarship members must attend for at least 3 days a week) and documentation (note: parents may email or fax documentation to you)
  • Maintaining the waiting list and waiting list files. Each week the waiting list must be updated on the computer. This list must be submitted to Club Director by the last day of each month for reporting purposes for county grants.
  • Completing all data entry for new members and maintain data for current members. Any updates to the files and NFOCUS system. All member change forms must be submitted, entered and then filed.
  • Make sure that any incomplete applications and what is needed to complete them so you can get the information from the parents
  • Complete the ELC Report
  • Print New Member Report each month and review
  • Review all files for accuracy (ongoing-missing data)
  • Maintain office area
  • File member files, ELC Reports, program reports and all other information that is pertinent to the infocus system
  • Complete data entry for Program Attendance
  • Manage and maintain all data related information, the database, files, records and/or binder
  • Once members are entered, send a new member report list to Club Director,
  • Communicate data needs during the Club meetings.
  • Use email as your primary form of communication.
  • Any parent communication that Club Director should have knowledge of, should be communicated to Club Director via email if the Club Director is not available
  • Assist with minimal front desk duties as needed and requested by Club Director
Requirements:

PRIMARY RESPONSIBILITIES AND ACTIVITIES: (not all-inclusive)

  • This position is Part-Time.
  • High School Diploma or equivalent.
  • Valid State Driver’s License and must pass pre-employment background check and drug test.
  • Basic knowledge of Microsoft Office programs, including, but not limited to Word, Excel, and Access.
  • Basic knowledge of Microsoft Outlook.
  • Basic knowledge of proper filing procedures.
  • Ability to relate with children and parents, highly preferred.
  • Experience in working with children and knowledge of youth development.
  • Strong Organization, Time Management Skills and ability to set Priorities
  • Obtain strong Work Ethic, Positive Attitude, High Level of Energy and Flexibility
  • Strong communication, Interpersonal skills, and Attention to Detail
  • Must be comfortable performing multi-faceted projects in conjunction with day-to-day activities.

POSITION QUALIFICATIONS:

  • Required to stand, walk, and sit. Able to use hands and fingers on a (computer) keyboard and other office equipment.
  • Lift and/or move up to 25 pounds occasionally during a standard 4 to 8 hour shift.
  • Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, and depth perception.
  • The noise level in the work environment is high due to work is conducted in a Club for children, inside and outside setting.

It is the policy of the Boys & Girls Clubs of Manatee County that applicants for employment undergo level 2 employment screening in accordance with the requirements of Chapter 435, Florida Statutes, as a condition of employment.

All applicants for employment or to volunteer who are selected for an interview will be provided with the Consent to Background Screening form for level 2 screening, and/or an Affidavit of Good Moral Character. The leading candidate for employment will be required to execute the Consent form and report to a designated location and submit fingerprints for level 2 screening.

No applicant for a designated position will be employed until the level 2 screening results are received, reviewed, and approved by the Boys & Girls Clubs of Manatee County, Office of Human Resources.

Level 2 background screening shall include, but not be limited to, fingerprinting for statewide criminal and juvenile records checks through the Florida Department of Law Enforcement, and federal criminal records checks through the Federal Bureau of Investigation, and may include local criminal records checks through local law enforcement
