We’re looking for a highly organized, dependable, and proactive person to help support the day-to-day operations of the dealership across accounting, inventory, vendor management, and administrative coordination.

This role is ideal for someone who enjoys organization, problem-solving, operations, and helping keep a fast-moving business running efficiently.

The Role

As a Dealership Office & Operations Coordinator, you’ll help support the financial and operational functions of the dealership while maintaining organization and accuracy across multiple areas of the business.

You’ll work closely with management and multiple departments to help keep dealership operations moving efficiently while supporting accounting processes, inventory administration, vendor coordination, deal processing, and office operations.

This is a hands-on role that requires strong attention to detail, accountability, follow-through, and the ability to manage multiple responsibilities in a fast-paced environment.

Responsibilities

Accounting & Financial Support

  • Assist with Accounts Payable and Accounts Receivable processes
  • Process vendor invoices and assist with bill management
  • Reconcile dealership credit card expenses and documentation
  • Assist with month-end close procedures and financial reporting
  • Post and reconcile chargeback account activity
  • Maintain organized and accurate financial records

Dealership Operations & Inventory

  • Enter purchased units into the dealership management system accurately
  • Assist with inventory reconciliation and inventory counts
  • Support floorplan administration and lender communication
  • Process customer cancellations and payoffs accurately and timely
  • Assist with deal closing documentation and dealership paperwork

Administrative & Office Coordination

  • Pick up, sort, and distribute incoming mail
  • Help support operational and administrative tasks across departments
  • Assist with warranty and ancillary remittances/payments
  • Help identify process improvements and operational efficiencies
  • Maintain organization and follow-through across daily dealership operations

Requirements

  • Minimum 2 years of office, bookkeeping, accounting, administrative, or operations experience
  • Strong organization and attention to detail
  • Ability to multitask and manage responsibilities independently
  • Strong communication and follow-through skills
  • Comfortable learning dealership software and systems
  • Dependable, proactive, and self-motivated
  • Able to maintain confidentiality with financial and customer information
  • Coachable and receptive to systems, structure, and feedback

Preferred Experience

  • Automotive or powersports dealership experience
  • Experience with dealership management systems (DMS)
  • Experience with Accounts Payable, Accounts Receivable, or bookkeeping
  • Familiarity with inventory reconciliation and floorplan administration
  • Experience with title work, deal processing, or payoff handling

Compensation

Competitive salary based on experience, capability, and level of dealership or operational experience.

Typical compensation range for this position falls between approximately:

$50,000 – $80,000+

Examples:

  • Administrative or bookkeeping background: typically around $50k–$60k
  • Strong office manager or operations/accounting experience: typically around $60k–$75k
  • Experienced dealership office or accounting professional capable of operating independently: potentially $75k–$80k+
