Role Overview

Our valued partner is seeking an Insurance & Billing Coordinator to manage end-to-end insurance verification, billing support, and patient financial coordination within a high-volume dental practice.

This is a hybrid role combining insurance coordination, billing administration, and patient communication. The ideal candidate will ensure accurate eligibility verification, timely claim support, efficient collections, and clear communication with both patients and insurance carriers.

Success in this role requires strong attention to detail, deep familiarity with dental insurance workflows, and the ability to manage multiple systems and priorities in a fast-paced clinical environment. The role also requires a proactive, solutions-oriented mindset and the ability to support both administrative and front-office operations as needed.


Key Responsibilities

Insurance Verification & Eligibility Management

  • Verify patient insurance eligibility prior to appointments, including coverage status, benefit limits, deductibles, exclusions, frequency rules, and annual maximums.
  • Identify non-covered services and ensure accurate documentation for treatment planning and financial transparency.
  • Maintain up-to-date and accurate insurance records within practice management systems.

Benefits Coordination & Carrier Communication

  • Communicate directly with insurance carriers to confirm benefit details, clarify coverage rules, and obtain missing or unclear information.
  • Submit and track prior authorizations for procedures, including hospital and IV sedation cases.
  • Follow up on pending authorizations to ensure approvals are obtained before scheduled treatment.
  • Manage Coordination of Benefits (COB) for patients with multiple insurance plans.

Billing & Revenue Cycle Support

  • Post insurance payments (including EFTs) accurately into patient accounts.
  • Generate and send patient statements and billing communications.
  • Track outstanding balances and support collection efforts prior to appointments.
  • Assist with Medicaid claims, including denial management and resubmissions.
  • Maintain daily and weekly financial tracking reports related to deposits, collections, and outstanding balances.

Patient Financial Communication & Front Office Support

  • Guide patients through insurance coverage details, expected out-of-pocket costs, and payment options using clear and empathetic communication.
  • Handle inbound patient calls related to billing, insurance, scheduling, and follow-ups.
  • Support appointment confirmations, rescheduling, cancellations, and missed appointment follow-ups.
  • Assist with new patient intake information gathering and documentation.

Data, Systems & Administrative Operations

  • Use dental practice management systems and payer portals to verify benefits, manage documentation, and track claims.
  • Maintain organized, HIPAA-compliant records across all insurance and billing workflows.
  • Clean and maintain billing and insurance datasets, spreadsheets, and reporting systems.
  • Support administrative staff with data entry, reporting, and workflow optimization tasks.


Requirements

Experience & Education: Minimum 1–2 years of experience in dental insurance verification, dental billing, or revenue cycle support. Experience in a dental clinic or multi-provider practice is strongly preferred.


Technical Knowledge: Strong understanding of dental insurance plans, coverage rules, prior authorizations, and payer workflows. Familiarity with dental PMS systems and insurance portals (e.g., DentalXChange, NEA or similar tools) is required.

Communication Skills: Excellent English communication skills with a clear, neutral, and professional tone. Ability to explain insurance details to patients in simple, empathetic language.


Core Competencies: Highly organized, detail-oriented, and capable of managing multiple workflows simultaneously. Strong problem-solving skills with a proactive, solution-oriented mindset. Ability to handle high-volume administrative work with accuracy and consistency.


Soft Skills: Professional demeanor, emotional intelligence, patience, and the ability to handle sensitive patient interactions with care and empathy. Strong sense of ownership and accountability in day-to-day operations.


Work Ethic: Comfortable working in a fast-paced clinical environment with shifting priorities and cross-functional responsibilities.
