We are seeking a dynamic, proactive, and exceptionally well-organized Clinic Manager (with Dental background) to lead our clinic towards operational excellence and profitability.
Role Summary
The Dental Clinic Manager will be responsible for end-to-end clinic operations, drive patient-centric service delivery, ensure top-tier standards, manage dentists and staff, and effectively maximize clinic profitability. The role demands high emotional intelligence, conflict resolution capabilities, and expertise in turning every patient interaction into a success story.
Key ResponsibilitiesPatient Management & Front Desk Operations
- Deliver an unmatched patient experience from the first call/message to post-treatment follow-up.
- Handle all inbound calls, WhatsApp messages, and social media queries promptly; convert leads to confirmed appointments with warmth, clarity, and professionalism.
- Ensure each patient is greeted warmly, registered, and handled with empathy—creating a welcoming, trust-building atmosphere.
- Obtain and file signed consent forms correctly before any treatment begins, following clinic compliance standards.
- Collect and record 80%-100% advance payments for all procedures prior to treatment. Handle patient objections or disputes with diplomacy and calmness.
- Manage difficult or emotionally-charged patients, de-escalate conflicts, and foster positive resolutions.
- Keep accurate, detailed records of all patient interactions and financial transactions.
Clinical & Medical Operations
- Coordinate with external dental laboratories; ensure impressions, crowns, and other lab work are ready before patient visits.
- Take, catalogue, and send intraoral and extraoral photographs and videos of each patient for lab approvals and record-keeping as per standards.
- Supervise the proper and timely stock management of dental materials and supplies; maintain inventory, evaluate suppliers, and lead cost-saving initiatives.
- Track new trends in dental materials; arrange trials with suppliers and seek Medical Director approval before integrating them into practice.
Staff & Dentist Management
- Oversee daily work allocation and performance of all clinic staff, dental assistants, and dentists.
- Recruit, mentor, and retain high-caliber dentists and support staff, with all hiring, incentive, and package decisions finalized in conjunction with the Medical Director.
- Conduct regular performance evaluations; set KPIs and incentive/commission structures for dentists and staff to align with clinic objectives.
- Schedule shift rosters, approve leave, and ensure adequate coverage and staff morale.
- Foster a culture of compliance, continuous improvement, and collaborative team performance.
Financial & Administrative Oversight
- Supervise full cash handling cycle—daily cash collection, reconciliation, deposit, and reports.
- Prepare and disburse staff salaries on schedule in coordination with accounts.
- Prepare monthly financial statements and operational reports for proprietor/Medical Director.
- Identify opportunities to increase clinic revenue and control costs without compromising quality.
Marketing & Growth Initiatives
- Coordinate with marketing agencies/suppliers to run and track effectiveness of all marketing campaigns (social media, Google/Meta ads etc.).
- Evaluate and test marketing service providers before onboarding; review analytics and generate reports to ensure ROI.
- Propose and supervise marketing events (in-clinic & online), patient retention strategies, and partnership programs, subject to Medical Director’s clearance.
Compliance & Quality Assurance
- Ensure all clinic operations and protocols comply with regulatory and ethical standards.
- Maintain high standards of hygiene, patient privacy, and infection control.
- Lead complaint/incident investigations and promptly resolve all compliance issues under guidance of Medical Director.
Desired Candidate Profile
- BDS or dental background preferred. Post-graduation/MBA in Healthcare Management is an added advantage.
- Minimum 3 years’ experience in dental/clinical management; proven experience in handling cash, customer service, staff supervision, and marketing.
- Strong understanding of dental clinic workflow, dental materials, and lab coordination.
- Excellent communication, problem-solving, and conflict resolution skills.
- Strong sense of responsibility, integrity, and business acumen.
- Fluent in English and Urdu; knowledge of local Karachi context is a bonus.
- Highly organized, proactive, and able to thrive under pressure.
