POSITION PURPOSE:
Under the supervision of the Dental Manager, the Dental Front Office Supervisor is responsible for supervising and actively participating in the daily activities of the dental front office and dental staff. Responsibilities include, but are not limited to, ensuring compliance with all organizational policies, protocols, and practices, interviewing and training employees, planning, assigning and directing work, performance evaluations, rewarding and disciplining employees.
ESSENTIAL FUNCTIONS:
- Ensures the smooth functioning of the dental clinics’ front offices and provides leadership and support to front office staff in fulfilling the mission, vision, values, goals and objectives of Aviva Health.
- Supervises front office staff, providing effective guidance, coaching, and correction; monitors performance of staff and responds timely to any issues.
- Develops coaching and correction documents and ensures staff are adhering to policies and procedures.
- Conducts regular performance reviews and one-on-ones in collaboration with the Director of Dental Services and Dental Manager.
- Oversees front office staff schedules, timecard management, time office requests, attendance and leave tracking.
- Collaborates with Dental Manager to maintain dentists’ schedules and ensure appropriate patient access.
- Works closely with the Dental Assistant Supervisor to maintain cohesive relationships between the front- and back-office dental staff.
- Partners with Human Resources to screen, interview, and recruit front office staff talent.
- Assists in the development and revision of job descriptions and hiring requirements.
- Collaborates with the Dental Manager to recommend staff promotions or evaluation of front-office staff compensation.
- Completes updates and maintains front office staff department records and ensures required forms are complete and submitted on schedule.
- Provides front office backup coverage as needed for absences or staff shortages.
- Develops, maintains, and provides training plans and ongoing training to front office staff.
- Assists the Dental Manager with managing dental screenings and the Gap Lists.
- Collaborates with Dental leadership and clinic providers to establish, define and refine department goals and objectives consistent with Aviva Health’s mission and demonstrates satisfactory progress towards these goals and objectives.
- Some travel and use of company or personal vehicle.
- Provides an example of accountability by adhering to all Aviva Health policies and procedures.
- Other duties as assigned.
QUALIFICATIONS:
- High school graduate or equivalent education.
- Minimum 2 years of experience in a supervisory role in a dental office setting or equivalent work experience.
- Dental Assistant experience preferred.
WORKING CONDITIONS:
Must be able to perform the following physical requirements:
- In-person position during standard office hours with possible evening or weekend work.
- Remain in a stationary position frequently during the day to perform administrative duties.
- Operate computer and phone frequently during the day.
- Ability to communicate information and ideas clearly and accurately so others will understand; ability to interact with patients and staff clearly.
- Work indoors in heat-controlled environment 100% of the day.
- OSHA Exposure Category – Category #2: The normal work routine involves no exposure to blood, body fluids, or tissues.
- Possible travel to outlying dental offices or conferences; use of company or personal vehicle.
