JOB PURPOSE:

Under general supervision of the Associate Deputy of Health Services and SC licensed dentist, performs the logistical and administration tasks related to the operation of the dental clinic. Collaborates with a multi-disciplinary team to ensure the effective delivery of dental care for youth housed at the SC Department of Juvenile Justice.


JOB RESPONSIBILITIES:

Ensures the dental clinic is operating in alignment with state and federal licensure mandates performing administrative and logistical duties as needed.

Coordinates all internal and external medical appointments including medical transportation for the youth utilizing a master calendar.

Schedules appointments for youth per SCDJJ policies, procedures and makes follow-up appointments for youth in a timely manner.

Manages all dental information and correspondences for the youth assigned to a SCDJJ secured facility.

Serves as the liaison with local dental facilities to ensure needed information is obtained to provide adequate dental care for youth.

Works directly with the youth, SCDJJ staff, parents and external dental providers regarding consent to ensure essential dental needs are met.

Prepares patients for treatment and provides chair side assistance for all dental procedures, including dental histories, maintaining adequate illumination, etc. as applicable.

Generates required monthly statistical reports detailing dental trends (i.e. performed dental procedures, ER visits, missed appointments, supply utilization, etc.).

Maintains and organizes documentation related to licensure requirements for the dental clinic.

In collaboration with the facility nurse manager and Health Services Licensure Coordinator serves as the Health Services point contact for internal and external inspections.

Coordinates the ordering and maintenance of all dental, office and janitorial supplies.

Ensures supplies are routinely ordered and adequately stocked at all times.

Responsible for maintaining an audit of dental equipment, submits works orders as needed for maintenance and repairs of facility and dental equipment.

Attends all required meetings and trainings and performs other related duties as assigned to support the agency and its mission including responding to medical emergencies as needed.

Minimum and Additional Requirements

STATE MINIMUM REQUIREMENTS:

A high school diploma and relevant experience in business management, public administration, or administrative services or a bachelor's degree may be substituted for the required work experience.

ADDITIONAL REQUIREMENTS:

Demonstrated knowledge of dental office management principles and procedures and the coordination of administrative functions within a dental clinic.

Considerable experience working with Electronic Health Record (EHR) systems, knowledge of the Health Information Portability and Accountability Act (HIPAA) and general medical consent procedures.

Demonstrated proficiency with Microsoft Office applications.

Ability to collect and assemble information in a clear, concise manner; understand, execute, and convey complicated oral and written instructions; and communicate effectively orally and in writing.

Ability to establish and maintain good working relationships with staff members and the general public.

Primary work location will be in Columbia, SC at the Willow Lane Dental Clinic.

Occasional travel to other SCDJJ secured facilities may be required (Union and Ridgeville).

This position involves direct contact with detained youth in a secured facility, and you may be subject to the possibility of physical assault, property destruction and communicable infection.

This position performs job duties relating to the custody, control, transportation, or recapture of youth within the jurisdiction of the Department of Juvenile Justice and the employee may have direct and indirect contact with youth within the jurisdiction of the Department of Juvenile Justice. Training applicable to these duties will be provided.

Must have and maintain a valid South Carolina driver's license and CPR certification.

Requires occasional lifting of objects up to 20 pounds.

Preferred Qualifications

PREFERRED AGENCY REQUIREMENTS:

A high school diploma and a minimum of two years relevant work experience that is directly related to the area of employment. At least two years of formal dental assistant training or dental office management.
