Dental Treatment Coordinator

<Responsibilities>

  • Coordinate patient appointments, treatment plans, and follow-up care with enthusiasm and professionalism.
  • Verify insurance coverage, benefits, and eligibility using systems such as Epic, Open Dental to facilitate smooth billing processes.
  • Explain treatment options clearly to patients, addressing questions about procedures, costs, and insurance coverage while ensuring understanding.
  • Review and prepare documentation including medical records, treatment plans, and insurance claims to ensure accuracy and compliance with HIPAA regulations.
  • Manage medical billing and coding using CPT (Current Procedural Terminology), ICD-9/10 (International Classification of Diseases), and ICD coding standards for accurate reimbursement.
  • Assist with insurance verification, pre-authorizations, and Medicare/Medicaid submissions to optimize patient benefits.
  • Maintain meticulous records of patient interactions, treatment notes, and billing information within EMR (Electronic Medical Record) systems such as eClinicalWorks or Meditech.
  • Provide exceptional patient service by answering multi-line phone systems with professionalism, scheduling appointments efficiently, and managing front desk duties.
  • Support office management tasks including filing, data entry (10 key typing), and managing medical records while ensuring compliance with HIPAA standards.

<Requirements>

  • Proven experience in a dental or medical office environment with strong familiarity of dental terminology and medical administrative support.
  • Proficiency in EMR systems such as Dentrix, Eaglesoft, Meditech, Epic, or Athenahealth; experience with electronic health record (EHR) systems is highly preferred.
  • Knowledge of medical coding (CPT, ICD-9/10), billing procedures, insurance verification processes, and documentation review.
  • Excellent computer skills including Microsoft Office Suite (Word, Excel) and multi-line phone system operation.
  • Strong understanding of HIPAA regulations to ensure patient confidentiality and data security.
  • Bilingual abilities are a plus to serve diverse patient populations effectively.
  • Exceptional customer service skills with professional phone etiquette and the ability to handle sensitive situations compassionately.
  • Previous clinic or dental office experience is highly desirable; familiarity with dental terminology such as care plans and intake procedures is beneficial.
  • Ability to multitask efficiently in a fast-paced environment while maintaining attention to detail in all aspects of documentation and communication.
