Dental Treatment Coordinator / Patient Care Coordinator

We are seeking a dynamic and detail-oriented Dental Treatment Coordinator to join our vibrant dental team. In this pivotal role, you will serve as the primary liaison between patients and the dental practice, ensuring a seamless experience from appointment scheduling to treatment planning. Your energetic approach will help educate patients about their dental care options, verify insurance benefits, come up with flexible financial options, and coordinate treatment plans efficiently. Duties

  • Greet patients warmly and manage all aspects of patient intake.
  • Present the doctor’s treatment plans and answer questions regarding the prescribed treatment.
  • Communicate treatment plans clearly to patients, explaining procedures, financial responsibilities, and available payment options; assist with financial arrangements and insurance claims.
  • Schedule appointments accurately utilizing dental practice management software (Dolphin), while maintaining efficient front desk operations.
  • Review and process dental documentation, ensuring compliance with HIPAA regulations and accurate coding using CDT coding standards.
  • Verify insurance benefits and perform insurance authorizations for procedures; handle billing inquiries related to dental billing processes.
  • Maintain meticulous records and ensure all documentation is complete, accurate, and compliant with health information management standards.
  • Provide excellent patient service by answering multi-line phone and walkie-talkie systems professionally, managing appointment rescheduling, and supporting overall office management tasks.
  • Work closely with the doctor and team members to ensure patients receive a five-star experience

Skills

  • Strong knowledge of dental collection processes, insurance verification procedures, and billing practices within a dental office setting.
  • Exceptional patient service skills with strong phone etiquette and clerical experience in front desk or office management roles.
  • Proficiency with electronic health record (EHR) systems such as Epic, Meditech, eClinicalWorks, or Athenahealth; experience with dental practice management software like Eaglesoft or Dentrix is highly preferred.
  • Familiarity with HIPAA regulations and CDT coding to ensure compliant documentation review.
  • Excellent computer skills and ability to navigate multiple systems efficiently.
  • Previous clinic or dental office experience is highly desirable; familiarity with dental terminology enhances communication accuracy.
  • Strong organizational skills for filing, documentation review, and managing care plans while supporting dental administrative functions such as scheduling and insurance verification.
